Under the direction of the Community Development Director, the Administrative Assistant provides administrative and clerical services of significant complexity and responsibility to support the Community Development Department and the Administration of the City of Riverside.

Reception/Clerical
- Answer telephones and direct calls to appropriate staff or agency; take telephone messages as needed; process citizen complaints and requests for information.
- Greet visitors and direct them to the appropriate department/staff.
- Works with the general public, applicants, their attorneys, and representatives to assist them with the application process.
- Processes, tracks, and distributes mail.
Application Intake/Processing
- Accepts and enters incoming permit applications, including but not limited to community development, right-of-way, and other permits or development applications as required by City codes.
- Processes and issues garage sales permits.
- Reviews applications for conformity with the instructions and assures that all applications have been properly completed, including payment processing.
- Prepares correspondence to request information from residents, business owners, and contractors to ensure the city receives complete permit/development applications.
- Accepts park shelter applications for the Public Service Department.

Community Development Department
- Assists the Community Development Staff in coordinating documents, letters, or responses for Subdivision and Land Development Plans.
- Assists the Code Enforcement Officers in clerical duties relating to enforcement actions and subsequent follow-up.
- Assists in the preparation of board and commission packets.
- Provides written and oral information to residents regarding planning issues as required.
- Monitor and engage the generic zoning@riversideoh.gov email account and forward relevant correspondence to appropriate staff members. Provide electronic responses to inquiries.
- Purchase goods as necessary in compliance with applicable ordinances.
- Prepares payment requests for developmental deposits and invoices for code enforcement fines and abatement work, processes payments for the department.
- Assists the Director with booking meetings, RSVPs, and managing the Director's calendar.

Records
- Manage records retention schedules for the Community Development Department.
- Develop, manage, and maintain effective records management processes.
- File physical and electronic records, including but not limited to permits, contracts, and correspondence.
- Maintain an inventory of Community Development-related contracts/grants, expiration dates, and renewal requirements.
- Dispose of records according to Ohio law and applicable procedures

Assists other departments as required.

Performs other job-related duties as assigned.

Local travel (e.g., errands) as required.

Possession of a High School Diploma or GED and 2 or more years of relative clerical and administrative experience.

KNOWLEDGE

Working knowledge of office procedures (e.g., schedules appointments, answers questions, give directions and manages flow of traffic in the office); planning & zoning; office administration; familiarity with departmental, city and state rules, regulations, ordinances, and policies.

SKILLS

Communicate effectively both verbally and in writing.
Conflict resolution and de-escalation, particularly regarding complaints.

ABILITIES

Basic mathematic proficiency (add, subtract, multiply, and divide).
Ask relevant questions and effectively interpret and apply responses.
Operate basic office equipment (computers, copiers, fax, phones), and Microsoft Office.
