This position encompasses the financial and physical operations of a non-profit veterinary clinic. The Operations Coordinator will be responsible for creating financial reports and billing. This will be achieved by working with our online medical records program and participating in the day-to-day functions of the veterinary clinic. The position is responsible for ensuring that equipment and maintenance services are properly running. We are seeking an enthusiastic and positive person with initiative and who is a team player. Working hours will primarily be Monday through Friday from 8-5, with an occasional Saturday.

· Prepare monthly financial reports in a timely and accurate manner.

· Prepare monthly invoiced activity to the HSMC Shelter in a timely and accurate manner.

· Audit and send Monthly Volume Client invoices to billed rescue groups.

· Audit, submit, and prepare invoices to Manatee County Animal Services for Low-Income activity and the Trap, Neuter, and Return (TNR) program.

· Data entry of TNR program paperwork.

· Prepare Manatee County rabies tag reports.

· Maintain maintenance schedule for critical equipment within the clinic.

· Coordinate building/equipment repairs & service as needed, ie plumbing, surgery equipment, oxygen equipment, cleaning company, cameras, etc.

· Manage IT issues to ensure prompt resolution

· Telephone System support – Manage voice mail announcements and Message on Hold announcements maintaining current programs

· Maintain accuracy of Clinic brochures and all other pertinent pricing documents.

· Update clinic signage with pricing and services. This includes both hard copy and electronic signage.

· Assist with reception duties, including but not limited to: surgery intake and discharge, scheduling appointments, discussing clinic services and products, processing payments, and closing out appointments.

· Routinely audit clinic inventory to ensure the best prices

· Participate in clinic public outreach programs.

· And other duties as assigned by direct supervisor and upper management.

Qualifications:

· Requires the ability to problem solve

· Excellent written and verbal communication skills

· Excellent and proven computer skills including Microsoft 365, Word, Excel, and Outlook

· Organizational, time management, and planning skills required

· Veterinary clinic experience a plus

Physical Requirements:

• Ability to work with cleaning products

• Standing for extended periods of time

• Exposure to high noise levels

• Exposure to hazardous chemicals

• Able to lift 50lbs

Job Type: Full-time

Pay: $19.00 - $21.00 per hour
