JOB SUMMARY
Under general supervision, the Sports Tourism/Recreation Supervisor is responsible for implementing marketing strategies to identify, solicit, secure, and retain sports events for the City of Victoria. In addition to directing, administering, planning, designing, and developing recreation programs and events, this position will play an important role in supporting and managing (3) Recreation Coordinators in the preparation of the Recreation Division budget, monitoring related expenditures, and managing and evaluating their work.
Principal Duties And Responsibilities
- Provides administrative and operational supervision related to athletic and recreation program registration, scheduling, and implementation.
- Coordinates, leads, organizes, delegates, and oversees tasks in associated with planned projects; researches and creates scope of work for RFQs to go out to bid; obtains quotes; submits items for Council approval.
- Monitors expenditures; reviews and approves credit card charges; participates in budget development; makes recommendations for budget modifications.
- Provides direction to staff in the development and maintenance of the City’s Parks and Recreation social media communications.
- Researches and facilitates new partnerships and sponsorships.
- Attends and participates in various meetings, events, and conferences.
- Provides feedback on the planning, design, construction, and maintenance of parks and recreation facilities and projects.
- Establishes methods for cost efficiency and cost reduction, develops cost analysis and efficiency planning, and determines budget needs for future needs and day-to-day capital.
- Generates, organizes, and maintains information relevant to the ongoing measurement and analysis of data for sports tourism.
- Responsible for project and program evaluation including studying and analyzing tournaments, sporting events and recreation programs, and services to measure effectiveness in meeting sports tourism needs and interests of the city and public.
- Secures sponsorships, donations, and contributions to support special programs, events, or tournaments. Identifies alternative funding sources that financial support or of benefit to sports tourism.
- Determine advertising methods and procedures.
- Investigates and responds in a timely manner to citizen complaints and concerns.
- Identifies present & future needs, goals & objectives for programs, services & facilities.
- Develops and fosters relationships with sports event organizers, tournament directors, and planners to create new business and sustain existing business in the region.
- Conduct and executes site visits, creates attractive bid documents or written or personal presentations in order to secure definite sports bookings.
- Works with rights holder or planner on event logistics as needed and ensures the agreement of proposal is met.
- Assist in the planning, coordination, and supervision of capital projects for sports fields/parks and facilities.
- Maintains close relationship with Convention and Visitor’s Bureau (CVB) in addition to hotels, facilities, venues, and local hospitality partners in order to serve as liaison for client and assist in event development and execution.
- Ability to represent the City of Victoria at booked events in the region.
- Travel to assigned meetings, trade shows, sales missions, and networking events to develop business opportunities by enhancing relationships with sport clients.
- Assists with the preparation and administration of the fiscal year budget for the sports tourism Hotel Occupancy Tax Funds (HOT) of the Parks and Recreation Department. Monitors expenditures during the year and makes recommendations for budget modifications or additional funds. Prepares detailed analysis and makes recommendation regarding staffing, services, facilities, and programs that impact the annual budget.
- Attends local networking events, chamber events, and other local meetings to solicit support and knowledge of the City of Victoria’s Sports Tourism.
- Prepare reports, budgets, grants, and other documents accurately and timely.
- Meets or exceeds monthly, quarterly, and annual goals.
- Performs all other job-related duties as assigned or as apparent.
PHYSICAL AND ENVIRONMENTAL CONDITIONS
Work is performed in a standard office environment, throughout parks and recreation facilities, and at event sites. May be exposed to various weather conditions. May be required to lift and move objects weighing up to 25 pounds. Some activities may include outdoor water sports such as kayaking and paddleboarding.
Required Qualifications
Education
- Bachelor's degree in Parks, Tourism, Recreation, or related field
Experience
- Three years of experience in sports or event sales; hospitality industry preferred.
- Five years of progressively responsible recreation experience.
License & Certification
