Job Summary
The Legal Assistant supports the County Prosecuting Attorney’s Office by performing legal administrative duties, preparing legal documents, maintaining case files and assisting attorneys in trial preparation. Reporting to the Administrative Supervisor, this position requires a high level of initiative the ability to deal with challenging situations, and complete tasks with minimal direct supervision.
Key Responsibilities
Legal Support:
- Collaborates with attorneys and supervisors to ensure case needs are accurately met and completed on schedule
- Prepares pleadings relevant to a criminal prosecution case including, but not limited to, charging documents, discovery pleadings, exhibits, and/or post-sentencing pleadings
Administrative Duties
- Answers and screens incoming calls; fields and directs all levels of legal questions, refers to supervisors or attorneys as necessary; connects calls to appropriate parties
- Files documents with the court and distributes all in-house documents
- Opens screening, felony, misdemeanor, and infraction cases, logs in all supplemental evidence
- Ensures that all incoming reports and evidence are filed in the appropriate case files; updates and reorganizes files as needed
- Maintains Case Management Systems
- Performs computerized case management system research, development, and implementation duties
Scheduling And Coordination
- Organizes and prepares daily and weekly calendars
- Tracks court schedules and attorney appearances, assisting in meeting case deadlines and court dates
Communication
- Provides information to the public and/or law enforcement officers regarding subpoenas, court events, etc.
- Informs witnesses and other involved parties of case settlement or rescheduling
- Communicates with law enforcement personnel and probation officers as needed
Other Duties
- Performs all work duties and activities in accordance with County and Office policies, procedures, and safety practices
- May support Specialty Courts including attending staffing and court with the attorney, taking notes and researching information, serving as a contact person for these courts, participating as a member of the Restorative Justice Board, and/or acting as a liaison between the Prosecutor’s Office and court personnel
- Performs other related duties as required.

Skills and Abilities:
- Build and maintain strong working relationships with County employees, supervisors, elected officials, and the public even in high-pressure situations
- Clear and concise communication skills, both verbally and written
- Handle and resolve complex and challenging situations effectively, both in person and over the phone
- Deliver professional customer service to co-workers, the public, court personnel, law enforcement, and County officials, meeting all service level agreements
- Maintain a high level of confidentiality
- Research and prepare clear and concise reports
- Manage time and schedules effectively, prioritize tasks and meet deadlines
- Efficiently manage multiple tasks simultaneously while handling interruptions
- Apply logical and creative thinking to develop solutions based on written or oral communication
Special Qualifications
- Must successfully complete a background investigation through the National Crime Information Center (NCIC)
Education And Experience
- High school diploma or GED equivalency required
- Legal or other professional administrative experience preferred
- Legal Assistant II classification requires at least the equivalent of one (1) years’ experience in a legal services environment
- Legal Assistant III classification requires at least the equivalent of two (2) years’ experience in a legal services environment
- Legal Assistant IV classification requires at least the equivalent of three (3) years’ experience in a legal services environment
- Any equivalent combination of experience, training, and education which provides the knowledge and abilities necessary to perform the work

- Sufficient clarity of hearing with or without reasonable accommodation to enable the employee to hear average or normal conversations and receive ordinary information
- Visual acuity, with or without an accommodation, to read instructions, review and organize documents
- Requires sufficient personal mobility and physical reflexes, which permits the employee to function in a general office environment to accomplish tasks
- Ability to lift 15 lbs
