GENERAL DESCRIPTION
Performs responsible and varied clerical work involving the taking and transcribing of dictation; serves as lead secretary to a department head. Relieves the department head, where possible, of the details of administration.
EXAMPLES OF WORK
- Performs private secretarial work for the department head.
- Employee may be required to attend meetings of boards or commissions and other conferences and take notes or occasionally verbatim dictation or testimony with considerable accuracy and speed.
- Handles correspondence and arranges appointments for the department heads.
- Work may also involve the keeping of a variety of records of departmental activities and the preparation of reports, bills, budgets, and other records, where some discretion and judgement is involved in selection and presentation of data.
EXPERIENCE AND EDUCATION REQUIREMENTS
Graduation from high school or G.E.D. Certificate, plus four (4) years of responsible secretarial experience.
Typing ability required, 60 WPM;
OTHER REQUIREMENTS
- Physical condition adequate for performance of work.
- Considerable knowledge of modern office practices and procedures and of business English and arithmetic.
- Ability to make minor decisions in accordance with laws and regulations and departmental policies and procedures.
- Superior ability to establish and maintain satisfactory working relationships with other employees and the public.
- Ability to assign and supervise the work of serval clerical subordinates.
- Knowledge of the organization, punctuation and composition of business letters, minutes, and reports.
- Knowledge of the techniques of receiving callers, making appointments, and giving information.
- Ability to follow complex oral and written instructions.
- Ability to use reference materials and organize data for reports.
