Description

Under the direction of the Town Clerk/Finance Director, the Administrative Assistant is responsible for performing a variety of routine and complex clerical, record-keeping, and administrative functions to support the operation of the Administration Department.

Interviews will begin the week of March 24th. 

Essential Duties

  • Provides day-to-day customer service; maintains and manages front reception area by answering phones, assisting and directing visitors, and picking up and distributing mail.
  • Prepares, types and proofreads a variety of correspondences, letters, press releases, memos, reports and other documents related to operation of the Town Hall.
  • Collects utility payments and other fees; maintains an accurate and daily record of all monies collected.
  • Assists with the processing of various license and renewals, including business licenses, lodgers, liquor, and marijuana.
  • Assists with the administration of the Town’s records management program, which includes recording, filing, records retention, and retrieval for Town staff and the public.
  • Assists with meeting preparation and attends Council and other board/commission meetings, taking and preparing minutes in the absence of the Town Clerk or as necessary.
  • Maintains inventory of office supplies and basic materials; purchase various supplies as needed. 
  • Assists in scheduling and maintaining reservations for conference rooms and Town travel vehicles. 
  • Performs related duties as assigned.

Qualifications

High School diploma or GED Certificate plus specialized training in general office practices and skills provided through seminars, workshops, college courses, or in-service training; AND, one year of experience related to above or similar duties; OR, an equivalent combination of education and experience to provide the following knowledge, skills, and abilities.

Knowledge, Skills and Abilities

Working knowledge of general office maintenance and practices; telephone operations and receptionist functions; operation of computer in utilizing various software programs related to word and word processing, spreadsheet and data base management; operation of standard office equipment; basic mathematics and accounting; interpersonal communication skills and telephone etiquette; public relations.
Ability to communicate effectively with a variety of customers; perform basic mathematical calculations; maintain strict confidentiality related to sensitive administrative information; operate personal computer in utilizing various programs including Microsoft Word, Excel, and PowerPoint to produce or compose formal documents, reports and records; operate standard office equipment; develop effective working relationships with supervisors, fellow employees, and the public.
