The Records Manager is responsible for ensuring that the Information Services Section (ISS) provides effective records management and support services to the police department, other City departments and agencies, and to the public in a timely and efficient manner. The incumbent provides supervision to small number of Records Supervisors who provide direct supervision over ISS operations and staff.

Brief Description Of Duties

  • Provide supervision and guidance to Records Supervisors, Records Clerks, Police Services Clerks and Special Police Officers, and to the Telephone Reporting Unit/On Line Reporting, and provide supervisor/employee training when needed.
  • Provide Security/Control of Criminal Histories/Police Incident Reports.
  • Process all Subpoena Duces Tecum and Freedom of Information Act requests for the Police Department.
  • Serve as VCIN/NCIC Agency coordinator for the Alexandria Police Department.
  • Serve as Agency Archives coordinator.
  • Prepare/review yearly budget for the Information Services Section and monitor expenditures against the budget.
  • Conducts staff studies and internal audits on the accuracy of the Information Services Section.
  • Review and approve payroll/overtime for all employees.
  • Red Light Program - Coordinate/process and work with Courts/Traffic Division and other entities in managing the program for the City.
  • Work with and provide IBR data to the State and Federal IBR programs on time.
  • Ensure accurate and timely responses to Citizens and Governments requests.
  • Manage and monitor warrants, VCIN/NCIC data entry within the guidelines of State and Federal Laws.
  • Attend meetings as required and conduct meetings for employees/training.
  • Testify when required by the Court, pertaining to official Police Department Documents maintained by the Information Services Section.
  • Review new pertinent and existing legislation and policies that affect Police Records/Policy.

Minimum & Additional Requirements

Three years of experience supervising a records maintenance system at a level equivalent to Records Supervisor and completion of high-school-level courses in arithmetic and English, supplemented by courses in computerized, records-maintenance methods and procedures; or any equivalent combination of experience and training which provides the required knowledge, skills and abilities.

Preferred Qualifications

Experience in general use of office equipment, automated court records, and word processing software. Bachelor’s degree and one or more years of experience in records administration.
