Basic Purpose of the Job:
Under general direction, performs a variety of routine and complex administrative and clerical tasks for the Municipal Court under the guidance and direction of the municipal court judge.      

Essential Functions:

  • Supervise preparation and distribution of the weekly court docket and maintain case files. Review the jail list daily and coordinate the scheduling of inmate visits via Webex and in person. Review filings and motions from defendants and attorneys and process according to court policy.
  • Perform and oversee general office functions, including processing notices for change of court dates, juvenile records, and failures to appear. Oversee internal and external records requests.
  • Administer the Court’s financial processing and collections. Assist in the preparation and presentation of the annual budget and the annual report.
  • Maintain and ensure access to programs and software necessary to the court. Submit conviction transcripts to the Department of Motor Vehicles weekly.
  • Review warrantless arrest affidavits, motions, and orders and present them to the Judge. With the Judges authority, manage all other municipal warrant arrests and authorize bond arrangements if necessary. Issue and quash warrants and coordinate with Montrose Police Department to reconcile warrants.
  • Oversee courtroom set up. Assist the judge during court. Verify the accuracy of documents, and supervise all evidence presented to the court. Process and execute orders of the judge. Submit conviction transcripts to the Department of Revenue.
  • Perform informal arraignments and review hearings and accept Waiver and Guilty pleas as established in administrative orders. Schedule hearings and trials, issue subpoenas. Coordinate with useful public service agencies, and oversee the enrollment of defendants in useful public service assignments.
  • Serve as a Municipal Court liaison and make appointments with other City departments, other judicial branches, law enforcement, attorneys, school district, and Hilltop. Schedule and orchestrate meetings.
  • Serve as Jury Commissioner. Prepare jury summons, call upon a bailiff, maintain juror list, and answer questions and excuse jurors pursuant to statute.
  • Plan, assign, coordinate and review the work of the deputy court clerk.

Job Requirement:

  • Bachelor's Degree in Criminal Justice, Communications, Business Administration or a relevant field from an accredited college.
  • Experience with municipal court procedures and experience in supervising employees. Five years preferred.
  • Familiarity with current municipal court rules, codes and ordinances, and police policies and procedures is preferred.
Licensures & Certificates(must be active and current.):
  • Current CML Court Basics classes required within one year of accepting position.
  • Current Colorado driver’s license with acceptable record.
Physical Requirements and Work Environment:
Must possess mobility to work in a standard office setting and to use standard office equipment, including a computer; strength to lift and carry materials weighing up to 20 pounds; vision to read printed materials and a computer screen; and hearing and speech to communicate in person and over the telephone. Works primarily in clean, comfortable environment.  Subject to interruptions and pressure due to multiple calls and inquiries. Occasional exposure to stressful situations.
