Performs administrative duties to support the department’s overall mission. Uses/requires office skills to handle: customer service/communications (internal and external), file organization and management, computer skills including data entry, word processing, spreadsheets, databases, and graphics software, mathematical computation, report and letter preparation, and decision making within scope of responsibility.
Duties
When Assigned To The Traffic Desk
- Runs daily accident list, processes tickets, files copies of ticket, and delivers original tickets to BMC, processes accidents. Enters daily totals on calendar. Enters accidents in Excel spreadsheet. Distributes copies to City departments. Data entry of accidents and citizen property forms in Versadex. Proofreads, ensuring accuracy and integrity of the police database is maintained by utilizing municipal, State and County systems.
- Scans all accidents and supporting accident paperwork, such as statements, DIC forms, wrecker tickets, etc. and links images to general occurrence reports. Documents paperwork for older case files by typing information into complaint remarks. Files hardcopy accident reports and supporting documents.
- Customer service (internal and external), assists citizens with questions or concerns regarding reports and requests for public information, including record checks. Clarifies State laws, City ordinances, and department policies relating to release of information. Accepts money for services in which a fee has been established. Prepares and distributes appropriate receipts from Community Plus and safeguards the money as required.
- Prepares and distributes monthly reports to Administrative Assistant for Chief of Police and for City Manager, files Records copies.
- Interacts with attorneys, police administrators, officers, and civilians, handles general office duties. Data entry for transmittal information.
- Performs all other related duties as assigned. Examples: Special Projects, Organized Crime Records disposal, testing Versadex upgrades, training how to respond to Open Records, etc.
When Assigned To The Window
- Customer service (internal and external), assists citizens with questions or concerns regarding reports and requests for public information, record checks, fingerprints, accident reports, address calls for service, verifications, bulk requests, etc. Clarifies State laws, City ordinances, and department policies relating to release of information. Large volume of telephone calls.
- Responsible for safeguarding the moneybox. Accepts money for services in which a fee has been established. Prepares and distributes appropriate receipts from Community Plus. Balances Community Plus receipts daily, prints report.
- Processes daily mail (incoming & outgoing), creating labels for folders, filing attachments for all general occurrences, shredding, etc. Mails the completed Open Records Requests and contacts the requesters for pickup.
- Disseminates reports to D.A., FBI, Probation, Parole, Medical Examiner, etc. through faxing, e-mailing, or mailing to the appropriate agencies. Interacts with attorneys, police administrators, officers, and civilians. Data entry for transmittal documentation.
- Performs all other related duties as assigned. Examples: Special Projects like Organized Crime Records disposal, testing Versadex upgrades, training how to respond to Open Records, etc.
When Assigned To The Imaging Desk
- Images attachments for Offense Reports, data entry of BMC Juvenile Reports, citizens’ property forms, flags records, alarm permits, street checks, and blanket orders (includes disposed evidence attachments). Proofreads, ensuring accuracy and integrity of the police database is maintained by utilizing municipal, State and County systems.
- Data entry of court subpoenas in Microsoft Outlook , copying, filing, and delivering court subpoenas. Also making contact with the respective court to clarify specifics and relay information to Officers.
- Customer service (internal and external), assists citizens with questions or concerns regarding reports and requests for public information, including record checks. Clarifies State laws, City ordinances, and department policies relating to release of information. Accepts money for services in which a fee has been established. Prepares and distributes appropriate receipts from Community Plus and safeguards the money as required.

Required
Minimum Qualifications
- High School Diploma or equivalent (GED).
- Six months customer service or general office experience OR equivalent combination of education and experience.
- Acquire J.I.M.S. – M4P2 certification in 6 months.
- Acquire NCIC/TCIC certification in 6 months.
- Ability to pass a Criminal Justice Information Systems (CJIS) fingerprint-based background check and maintain CJIS eligibility.
Preferred
- Bilingual in English/Spanish
Knowledge, Skills And Abilities
Ability to multitask, establish priorities, work independently, and maintain organization. Work requires continual attention to detail in entering, composing, typing and proofing data and materials. Knowledge of business machine operations, personal computers and related software, and accounting/billing processes. Must have a high level of interpersonal skills to handle sensitive and confidential situations with both internal and external customers. Position continually requires demonstrated poise, tact, and diplomacy. Ability to get along appropriately with co-workers and the public.
