Job Responsibilities

Coordinates the operations of the Dillon Construction office consisting of record keeping for all State and Federal Aid construction projects. Attends briefings and meetings for Resident Construction Engineer (RCE) as authorized or delegated. Records and edits minutes of meetings and conferences. Maintains meeting and appointment calendar for RCE. Researches, processes, and prepares correspondence and reports in a concise and proficient manner. Utilizes Department software and computerized systems. Proof reads outgoing correspondence for accuracy, grammar, factual content, and conformance to policy. Processes personnel transactions, including new hires; compiles and maintains personnel records; tracks and schedules training and accommodations. Trains employees to enter time and leave. Assists/trains employees on policies and procedures, insurance benefits, safety issues, and Department computer programs. Coordinates all incoming mail to include reviewing, distributing and sorting as necessary in order of importance. Screens mail to determine which can be handled personally and forwards to appropriate staff member with background information. Receives incoming telephone calls for Dillon Construction and obtains nature of calls in order to properly assist caller. Compiles and enters office operating budget. Monitors expenditures and provides RCE with status updates. Prepares purchase orders, receipts and maintains related files and records. Assists with emergency and inclement weather operations, may include extended hours and/or 12 hour shifts.

Minimum And Additional Requirements

A high school diploma and six (6) months of work experience that is directly related to the area of employment; or an approved acceptable equivalence.

The physical demands for the essential functions of this position include sitting or standing at a desk for extended periods and working on a computer. May be required to lift up to 30 lbs. May be required to work outside of normal work schedule, especially during inclement weather and/or other departmental-related emergencies.
