ADMINISTRATIVE SECRETARY I - Building Inspection


JOB SUMMARY

Under direction of the Building Official, perform advanced secretarial, organization, research, and clerical work requiring a specialized knowledge of departmental operations, policies, and procedures. Work in close contact with the public. Perform other related work as required.
 
ESSENTIAL JOB FUNCTIONS

Perform advanced secretarial and clerical functions for the Building Official and for the department requiring considerable discretion, skills, and specialized knowledge.   Maintain department personnel records with confidentiality. Use personal computer and various software applications, including but not limited to Microsoft Office. Perform Notary Public functions. Prepare monthly reports, charts, statements, etc.; requisition equipment and supplies. Assist the public with questions that require specialized knowledge of department programs, policies, and procedures. Greet and assist incoming customers. Answer incoming telephone calls. Accept and receipt monies accurately. Enter data into computer to enable issuance of permits. Print permits and forms, and notify applicants by telephone when permits/forms are ready to be picked up.  Receive and write inspection requests made in person. Receive and process contractor registration forms.  Prepare citations and file with the Municipal Court. File liens with the appropriate County Clerk. Prepare records for archive. Type and file forms, charts, statements, letters, memos, and other departmental reports. Open and distribute all incoming mail. Communicate efficiently and effectively with citizens, officials, and coworkers in person, in writing and by telephone.
 
OTHER JOB FUNCTIONS AND PHYSICAL CAPABILITIES

May be required to carry, hold, lift and push up to 35 pounds.
 
REQUIRED EDUCATION, DEGREES, CERTIFICATES AND/OR LICENSES

High school diploma or GED required. Notary Public certification required or obtained within 3 months.
 
EXPERIENCE, TRAINING, KNOWLEDGE, AND SKILLS

Four (4) years of experience required in general secretarial work or extensive experience in related field. Three years of continuous experience required as a Building Inspection Assistant. Bilingual English and Spanish communication skills preferred. Must be able to use tact and diplomacy, plan and schedule, coordinate appointments, meet deadlines, be resourceful, and process work efficiently. Ability to have good command of the written word and sentence structure required. Must be well organized, detail-oriented, and thorough. Must be a self-starter and place a premium on maintaining confidentiality. Proficiency in computer applications, such as Microsoft Office.
