The City of Saint Charles Human Resources Department is currently recruiting for the position of Group Sales Supervisor. The purpose of this position is responsible for sales and marketing activities to promote the area to Meeting Planners to bring in conventions, trade shows, and meetings in multiple assigned sales markets.

Essential Duties And Responsibilities

The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.

  • Prospects for new business through the internet, telephone contacts, trade publications and industry organizations and attending tradeshows.
  • Follows up with sales contacts by email, phone, and direct mail to retrieve Requests for Proposals (RFPs) for future business.
  • Maintains accurate and up to date files on accounts through the CRM system including entering new leads, traces, service requests, room & revenue pick up, correspondence, maintenance, follow ups, etc. in a timely basis.
  • Responds to RFP's (Request For Proposals) and makes presentations to meeting planners interested in bringing their meeting / convention to St. Charles (This includes site/facility selection, housing requirements, negotiating rates, etc.).
  • Maintains awareness of competing cities with an understanding of their product compared to ours.
  • Works with sales team to plan and coordinate direct sales calls, sales blitzes, Familiarization Tours, site inspections and tradeshows that will showcase the area as a destination for meetings.
  • Maintains contact with the meeting planner during and following their event to make sure that everything is implemented to their satisfaction with the anticipation of repeat business.
  • Works with Director of Sales to obtain prospecting and sales goals by creating and maintaining a client base.
  • Maintains a well-informed working knowledge of all hotels, attractions and services, both public and private available in the area and develops and maintains a close working relationship with sales staff at all facilities. Sales staff makes quarterly partner visits.
  • Maintains an awareness of competitor products, promotions and industry issues that influence sales by establishing a rapport with other CVB representatives, reviewing convention trade publications, etc.
  • Joins membership organizations that apply to targeted markets and services. Attends monthly meetings for these organizations to network with suppliers and meeting planners to retain existing business and/or cultivate new business.
  • Represents the CVB at trade shows, marketplaces, and related conventions and meetings and completes all necessary follow up to appointments.
  • Reports to Director of Sales weekly and updates the following reports: Convention Sales Funnel Report, Sales Activity Recap, Sales Action Plan, Booked Business Report, Convention Services Update, and Quarterly Action Plan.
  • Maintains working knowledge on our Event Supplier Network system receiving RFP's and distributing to the appropriate venues to bring in business.
  • Updates booked business calculations on Destination Marketing Association International Event Impact Calculator (DMAI) within the CRM.
  • Along with the Convention Sales Coordinator, maintains updated information on all service providers (i.e., transportation, entertainment, miscellaneous services, restaurants, retail shops, and tour companies.
  • Assist with CVB office responsibilities and events as needed. Performs other duties as assigned.

Minimum Training and Experience Required to Perform Essential Job Functions

  • Associate degree in Marketing, Sales or related area.
  • Four years marketing, sales and public relations experience preferably in the hospitality industry.
  • Any combination of education and experience that provides equivalent knowledge, skills, and abilities.
  • Bachelor's degree preferred.
