ABOUT NYC TOURISM + CONVENTIONS

We are the official destination marketing organization (DMO) and convention and visitors bureau (CVB) for the five boroughs of New York City. Our mission is to maximize travel and tourism opportunities throughout the City, build economic prosperity and spread the dynamic image of New York City around the world.


POSITION SUMMARY

NYC Tourism + Conventions is seeking a Freelance Project Coordinator to provide administrative and organizational support for campaigns during our celebration of New York City’s 400th anniversary. This role is ideal for someone detail-oriented, highly organized, and looking to grow their project management experience while working alongside a dynamic marketing team.


The Project Coordinator will support the day-to-day logistics and communication of campaign operations, ensuring deliverables stay on track and timelines run smoothly.


RESPONSIBILITIES

• Update and maintain project trackers, status docs, and campaign calendars.

• Assist in scheduling meetings, prepping agendas, and taking notes for team check-ins and vendor calls.

• Follow up on task assignments to ensure deadlines are being met.

• Organize and file creative assets, campaign materials, and key documents.

• Support trafficking of content through internal approvals.

• Track feedback, revisions, and deliverable versions across teams.

• Assist with campaign asset trafficking and reporting.

• Keep cross-functional teams organized and informed.


QUALIFICATIONS

• 1–2 years of experience in a support or coordinator role (internships welcome).

• Interest in marketing, tourism, arts, or events a plus.

• Proficiency with Microsoft Office (Word, Excel, One Drive, Outlook).

• Familiarity with project management tools like Basecamp & Smartsheet is helpful.

• Strong communication and time management skills.

• A positive, collaborative attitude and willingness to learn.

• Bonus if you have experience supporting campaigns, social media, or creative workflows.
