As the Legal Assistant, you will:Provide excellent customer service for: in-person visitors, telephone callers, take and relay messages, or direct callers to appropriate individual.
Respond to requests for information (no legal advice), provide information as permitted by guidelines for Legal Requirements, Records and Confidentiality (including the City Prosecutor’s verbal direction).
Track, review, and prioritize tasks for self, 1 attorney and 1 Paralegal; track fixed deadlines, City Prosecutor’s goals, professional memberships, office subscriptions, time documentation for payroll deadlines, and related matters.
Prepare and proofread for attorney review various formal correspondence and documents such as letters, memoranda, legal documents, reports, transcriptions, and other written materials.
Assist in monitoring the City Prosecutor’s Office budget responsibly; handle processing of invoices, requisitions, budget transfers, travel arrangements for the attorneys, purchase card logs, gas card logs, office supply purchases, and other costs of the office.
Possess knowledge of:Efficient use of Microsoft Office Software (Word, Outlook, Excel, PowerPoint, Teams).
Office operating equipment: computer peripherals, printers/scanners/fax machine/copiers, audio recorders, and other common office equipment.
Business style writing, grammar, and punctuation, in all documents, including e-mail.
Possess the ability to:
Education, Training and Experience:- High school diploma or GED, and
- Three (3) years of legal-or-law related field office administration experience, OR
- 6 years of progressively responsible office administration experience.
Licenses and Certificates:All Licenses and Certifications required must be maintained throughout employment.- A valid Arizona driver's license at the time of appointment
