Basic Function
Please Note: This position is budgeted to have a start date no sooner than January 1, 2026.
Under the direction of the Parks Operations Supervisor, support the coordination of City field and facility reservations, utilizing scheduling and registration software; schedule parks sports fields, facility and picnic shelter rentals; review and schedule parks special use permits; assist with the development of park user agreements and enforcement of policies and procedures; assist with training of support staff and coordinate with other departments and outside agencies when facility bookings are requested.
Representative Duties
- Assist with the administration of the facility rentals and reservation program; analyze, plan and schedule rental requests while enforcing rental policies. E
- Work with internal and external customers to schedule recurring field and facility reservations throughout a calendar year. Assists and interacts with customers via phone, e-mail and in-person regarding facility usage and scheduling. E
- Review new reservation requests; ensure all parties have completed required documentation prior to reservation; assign reservation and permit fees according to fee schedule; invoice, collect fees, or arrange for collection; follow-up on delinquent payments; complete monetary transactions including check handling and credit card processing for facility reservations; provide receipts at the time of payment processing. E
- Assist with the development, implementation, and maintenance of system/process that tracks various user agreements and park use permits, fee waiver requests, and other special requests such as major events or large community events. E
- Schedule field lighting through online software system and cellular phone application; resolve or troubleshoot any field lighting issues during normal business hours. E
- Maximize resources through effective field scheduling, to result in a high use rate. E
- Provide excellent customer service to all partners and user groups. E
- Maintain Parks and Recreation online registration database by creating, editing, and updating rental inventory offerings and fees; create and update forms. Interface with recreation registrar for purposes of troubleshooting issues inside online software. E
- Operate office equipment to perform administrative tasks, including computers and supporting software applications, copiers, fax machines and telephones; edit and maintain documents; create program brochures and graphic arts materials. E
- Compose, prepare, and type a variety of correspondence, memoranda, and reports, including materials of a confidential nature; inspect reports, records, and other data for accuracy, completeness, and compliance with established standards. E
- Assist the Department with the creation of promotional materials, signage, graphics, and ordering supplies, such as uniforms. E

Knowledge Of

- Methods and techniques of scheduling to accommodate multiple sports offerings.

- Respond to requests and inquiries from the public.

- Communicate clearly and concisely in English, both orally and in writing.
- Establish and maintain effective working relationships with those contacted in the course of work.
- De-escalate difficult, sensitive, and potentially volatile customer relations and take steps toward resolution.
Required Education And Experience
Any combination that is equivalent to a High School diploma and Two (2) years of office clerical experience with an emphasis in customer service and experience with word processing, spreadsheets, and database management.
Licenses And Other Requirements
- Valid Washington State Driver’s License required by date of appointment.
- A satisfactory three-year driving abstract record, submitted prior to hire.
Preferred
- Experience in sports or recreation programming.
- Experience utilizing recreation registration software.
- Municipal experience preferred.
- Bilingual
