Job Description
Ensures efficient operation of the Special Education Department. Manages clerical and budget activities as necessary for the Special Education Department, supports Special Education Department with Grants, FTEs, and federal and operational budgets.
Essential Duties And Responsibilities
Complies with approved Code of Ethics of the Education Profession and upholds and enforces rules, administrative directives and regulations, school board policies, and local, state and federal regulations.
Provides optimal customer service to staff and any other stakeholders of the District.
Supports efficient operation of the Special Education Department. Supports clerical activities of the Special Education Department to support the department.
Provides professional, accurate and proficient administrative support services by composing and producing departmental documentation and filing records with budgets and grants.
Must be proficient in creating Excel spreadsheets.
Coordinates and keeps IDEA grant and operational budget data for the Special Education Department.
Monitors the Special Education budget (federal and operational), FTEs and Maintenance of Effort (MOE). Provide updated reports to department leadership team as needed
Responsible for preparation of all purchase requisitions, travel requests and maintaining appropriate documentation for audits.
Ensure compliance with local, state and federal guidelines for implementation of budgets and is knowledgeable in the provisions for federal grant expenditures.
Adhere to purchasing policies and procedures and ensure budgets are expended correctly.
Communicate effectively with Special Education personnel, related service staff, local and state finance offices regarding budget and expenditures.
Prepare budget adjustment requests as needed.
Provide accurate budget reports on a regular basis to the Associate Superintendent Special Services.
Assist the Associate Superintendent in budget development.
Prepare, track, and maintain control of all purchase requisitions and files.
Respond to inquiries from vendors regarding order status, inventory and shipment status.
Receive orders and review for accuracy.
Responsible for verification of invoices for all contracts.
Develop and maintain a system for tracking Fixed Assets.
Assist with the maintenance of copier equipment at the school sites.
Use online software to enter purchasing and requisition of materials and supplies and maintain a running balance of accounts in a timely manner.

EDUCATION And/or EXPERIENCE
- Bachelor's Degree in accounting, business, or related field preferred
- Minimum Five (5) years related experience in secretarial/budget with upper-level management preferred.
- Knowledge of school district organization, operations, and administrative policies.
- Excellent organization, communication, public relations, and interpersonal skills.
- Work independently receiving a minimum of detailed supervision and guidance.
- Ability to establish and maintain effective working relationships with district employees at organization levels and with the public.
- Knowledge of Excel spread sheets, ability to filter, sort, create spreadsheets and interpret data.
- Proficient grammar, proficient word processing, editing, and keyboarding skills.
