Under general direction, performs complex administrative and technical functions related to the Office of the City Clerk; provides customer assistance in person and on the telephone; performs related duties as assigned.

Prepares and proofreads a wide variety of documents from notes, brief instructions, or materials including meeting minutes and proclamations; maintains a variety of complex and confidential documents such as meeting agendas, memos, presentations, reports, and various quarterly and annual documents.
Processes department accounts payable invoices, credit card statements, purchase requisitions, budget transfers and department payroll; performs a variety of administrative office details, such as travel coordination and itineraries, meeting and conference arrangements, office supplies, equipment purchases and repairs; manages and maintains various calendars.
Receives and verifies documentation required for passport processing and maintains processing forms and reports; receives payments from the public in the form cash, check or money orders; performs arithmetic calculations and verifies totals.
Assists with receiving, tracking, researching, redacting, and responds to public records requests and other requests for department records; assists with reviewing and verifying records to ensure accuracy and adherence to privacy standards before release.
Assists with Committees and Commissions including the creation and recording of minutes, recruitment and coordination of volunteers.
Assists in the municipal election process by proofreading and verifying various election materials and dates; serves as a field registrar.
Assists with a variety of record management duties, including creating and maintaining filing systems; retention and destruction; researches and resolves discrepancies as needed; scans and indexes documents to convert to electronic storage.
High school diploma or equivalent. Three (3) years of increasingly responsible experience in municipal government or as a legal assistant. One (1) year experience that included direct customer service. Note: An equivalent combination of related training and experience may be considered.
Must qualify for and accept designation as a U.S. passport acceptance agent within six (6) months of employment.
Must qualify for and accept designation as a Notary Public within six (6) months of employment.
Must possess and maintain a valid Nevada or “border state” driver’s license, as defined by NRS 483.
Must pass a nationwide fingerprint-based record check, and a wants/warrants check.
KNOWLEDGE, SKILLS, AND ABILITIES
Knowledge of the rules, regulations, policies, and procedures of the City of Boulder City; City government functions and operations; the City of Boulder City organizational structure; the principles and practices of municipal administration; knowledge of federal, state, and municipal laws that pertain to passports, municipal elections, voter registration and public records.
Skill in the English language including spelling, grammar, vocabulary and punctuation; establishing and maintaining accurate records, logs, and files; preparation of clear and concise reports; and the use of modern office equipment and Microsoft Office Suite.
Ability to work in a team environment; work effectively with others; provide effective customer service; display strong interpersonal and communication skills, both verbally and written; organize prioritize, research and plan; participate in working groups and professional organizations.

PHYSICAL AND MENTAL REQUIREMENTS/WORK ENVIRONMENT
General Physical Requirements Light work: Exerting up to 25 pounds of force occasionally and/or a negligible amount of force constantly to move objects. Must be able to lift a minimum of 15 pounds unassisted. If the use of arm and/or leg controls requires exertion of force greater than that for Sedentary Work and the worker sits most of the time, the job is rated for light work.
Physical Activities None: The worker is not substantially exposed to adverse environmental conditions (such as in typical office or administrative work).

Working Conditions The worker is subject to inside environmental conditions: Protection from weather conditions but not necessarily from temperature changes.
