Job SummaryUnder general supervision, this position manages the scheduling, preparation, and support of all library meeting and event spaces to ensure they are accessible, functional, and well-maintained. This position works directly with patrons and community groups to coordinate room reservations, assess event needs, and provide on-site support during programs and rentals. The role combines event coordination, facility readiness, customer service, and basic building support. The Facilities Coordinator ensures that meeting spaces are properly scheduled, set up, maintained, and secured, and serves as backup support for custodial functions as needed. Reports to the Head of Collection Management.
Essential Functions- Room Scheduling & Client Coordination – Collaborates with patrons and community groups to schedule meeting spaces, assess event needs, and assist with completion of rental agreements and related documentation.
- Event Setup & On-Site Support – Coordinates and oversees room setup and breakdown for meetings and events. Provides on-site support during events, including audiovisual assistance and troubleshooting.
- Facility Readiness & Space management – Maintains the events calendar for all meeting spaces and ensures rooms, restrooms, and public areas are clean, organized, and ready for use.
- Building Support & Basic Maintenance – Provides routine building support, monitors facility conditions, addresses minor maintenance needs, and reports larger issues to appropriate personnel.
- Custodial Backup Support – Serves as backup to the Building Custodians during absences to ensure continuity of cleaning and facility operations.
Additional Functions- Performs other duties as assigned.
Education and ExperienceHigh school diploma/GED and two (2) years of experience in a job related field; or an equivalent combination of education, training, and experience that provides the required knowledge, skills, and abilities.
Special Qualifications:Valid Driver’s License, CPR and AED certifications are required.
