To provide a wide range of support tasks in the County Attorney’s Office, including managing legal files across various types of cases, drafting documents, arranging meetings, and aiding in trial preparations such as organizing exhibits and coordinating witnesses. Additionally, this role entails conducting non-legal research, organizing information, solving problems as directed, and handling all clerical duties within the office.

- Prepares for trials or other legal proceedings. Reviews files to determine readiness of information for review and signature by Attorney. Prepares and organizes charts or other visual aids to be used as exhibits and evidence; obtains records and information needed; prepares appropriate files and disseminates information to appropriate attorney.
- Monitors and maintains files to be in compliance with the discovery process including managing videos (e.g., squad videos and body camera videos), managing other electronic data, and obtaining transcripts. Enters and maintains all information on an electronic case management system and discloses information to defense attorneys.
- Maintains attorneys’ schedules and pulls files as needed for meetings and hearings. Schedules appointments, meetings, training events, notifies attorneys of court hearings.
- Assembles legal documents and complaints for all crime levels. Prepares legal documents, notices, and correspondence for attorneys, including criminal complaints, actions, petitions, pleadings, etc. Monitors and utilizes the BCA e-charging procedure for all cases to ensure cases are charged and before the Court at the appropriate time.
- Opens incoming files as submitted by law enforcement and other agencies/departments and enters all information on an electronic case management system. Requests further information as needed.
- Provides customer service to members of the public, law enforcement, court personnel, County employees, victims, etc. Answers the telephone and refers calls to appropriate person; greets visitors at the counter. Provides information and assistance regarding the County Attorney’s Office services and activities, resolves routine complaints; and processes a variety of forms and documents.
- Notifies law enforcement officers, witnesses and others of hearings and scheduling changes; requests evidence and follow-up from law enforcement. Maintains electronic video and audio files obtained from law enforcement agencies.
- Notifies victims, witnesses, and other required professionals to appear for hearings as needed. Orders subpoenas and delivers to process-servers for service on parties when appropriate; serves subpoenas, pleadings, and other documents on a case-by-case basis.
- Assists with general office support as needed by performing duties including, but not limited to, maintaining law periodicals and updates; processing incoming and outgoing mail; making copies; maintaining office equipment and ordering office supplies; preparing billings; verifying and submitting bills for payment; completing statistical reporting; filing; assisting trainees as needed.
- Acts as a Terminal Agency Coordinator in compliance with agreements signed by the County to secure the County Attorney’s Office’s access to the Minnesota Bureau of Criminal Apprehension’s Criminal Justice Data Network for appropriate use in investigation and charging of cases and completes a triennial audit together with the BCA to maintain this access.
- Reviews, verifies, processes, and serves restitution affidavits/supporting documentation with court and appropriate parties. Initiates follow up contact with victims to assist with restitution paperwork and to determine restitution amounts. Prepares and files closing documents with court.
- Assists attorneys with the appeal process, including but not limited to, intake, correspondence with the Office of the Attorney General, electronic filing, citation of pleadings, enabling automatic generation of required sections of the brief including table of authorities and table of contents, and calendaring of oral argument. Assists the Victim Assistance Coordinators, and, in their absence, provides assistance in closing files, providing required services to victims, and coordinating witnesses and victims for jury/court trials.
- High school diploma or equivalent and a certificate or diploma from a Legal Secretary, Legal Office Specialist, Legal Administrative Assistant, or Legal Assistant Program, and two years of experience; or an equivalent combination of education and experience.
- Must successfully complete a criminal history background check.
