The Purchasing Liaison provides administrative support to the Director of Central Purchasing. This position, in conjunction with administrative staff, performs statistical analyses, clerical, and other assigned duties in maintaining the operation of the department. Additional responsibilities include processing day-to-day purchasing requests which includes, but is not limited to, requisitions, check requests, service contracts, etc. The Purchasing Liaison should possess basic knowledge of daily operations and protocol to ensure efficacy and effectiveness throughout the department.
- Process Purchase Requisitions for all purchases from both County and Court departments.
- Process service contracts for all County departments
- Receive, review, and process department requisitions electronically through the County's ERP system. Ensure accuracy and adherence to the County Administrative Code.
- Process SPLQ and Sub-Adopt requisitions from Human Services involving adoptions, child support, etc.
- Process requisitions from the Workforce Development Department relative to job placements.
- Generate "goods receipts" for received goods and services.
- Maintain a current knowledge of the procedures, capabilities, and programs for operating office IT equipment.
- Maintain departmental confidentiality at all times.
- Compute calculations for quotes, invoices, purchasing, and receiving.
- Screen and refer incoming calls and department visitors to ensure that accurate and timely departmental communication is facilitated, and that the department is presented in a positive manner.
- Maintain and update list of current vendors and handle routine vendor problems as they arise.
- Organize and maintain files of rejected bids and expired contracts for two (2) years. After two
- (2) years, prepare documents to be sent to and archived to storage.
- Submit work orders for the department.
- Process check requests for the department as needed.
- Monitor and order departmental office supplies.
- Perform other work-related duties as required.
- Safety, sanitation, and security performance will meet or exceed all Federal, State, and local environmental codes.
- High School diploma or possession of G.E.D issued by a state department of education.
- Basic computer knowledge with ability to learn applicable programs.
- Strong communication and customer service skills.
- Strong attention to detail.
- Must possess an aptitude for figures, weights, and measures.
- Must be able to speak clearly and effectively.
- Proficient reader.
- Must have the ability to communicate and work effectively with all levels of professionals.
- Must have a working knowledge of databases. Needs to be able to generate spreadsheets and forms using computer programs.

Computer Skills:- Proficiency in Microsoft Applications (Office, Word, Excel, PowerPoint, Outlook, Teams).
Physical Demands:While performing the duties of this position, the employee is frequently required to stand, walk, sit, bend at the waist, and talk or hear. Occasionally, the employee will need to reach or work with arms above shoulder height, kneel, stoop, crouch or squat, crawl, climb stairs, twist or rotate at the waist while working; push, lift or carry items.
