Duties
The Department of Emergency Medical Services, and the greater VB Rescue system, provides pre-hospital medical care and transportation to City of Virginia Beach residents and visitors. To support our mission, we are seeking an
Administrative Technician to perform duties that include, but are not limited to:
- Conducting research from readily available resources and providing relevant information to support division/department projects
- Providing front desk support / receptionist with the assistance of other staff members.
- Developing/maintaining database to track member competencies, training records, special qualifications, certifications, or licensure requirements and providing notice to members so they maintain compliance; providing reports to middle and upper managers.
- Maintaining/updating training/certification records for career and volunteer members.
- Compiling statistical and/or narrative data into reports; preparing narrative reports on a regular basis in support of the department’s administrative staff
- Establishing and maintaining databases or spreadsheets for the division/department’s use and generating various informational reports from them; preparing regularly recurring reports that may help middle and upper level managers make decisions
- Creating desktop applications to produce spreadsheets, presentations, or reports for department/division use.
- Responding to internal and external inquiries by researching and preparing responses with technical substance; handling complaints and requests for service or information by providing assistance or referring to the proper source; and following up on referrals to ensure that action is taken.
- Developing/maintaining updated training course calendars, room schedules, and training announcements.
- Provides information to members on routine policy and procedural issues; and deliver routine department/division training to familiarize members with city and department policy and procedures.
- Performing other job duties requiring skills, knowledge and physical requirements as demanded by those duties described or less. Individual assignments will be determined by the supervisor based on then current workloads and departmental needs.
The selected individual will be assigned to the Support Services Branch in the Department of EMS. In addition to the above, additional tasks and key responsibilities will include
- Working with a diverse group of volunteers and career individuals.
- Training other members on the use of various applications utilized in the role of Administrative Technician
- Assisting with new member onboarding.
- Assisting with career and volunteer HR processes.
This position is classified as Alpha-1 which means you are subject to call-back or hold-over during situations such as a declared “emergency.” You may be required to report for, or stay on, duty and potentially report to a location not your typical workstation and/or perform work not typically done in your permanent position and/or report to a different Supervisor. This could mean nights, weekends and/or holidays and be recalled for greater than a 24-hour period.
