Job Description
The Arlington County Fire Department (ACFD) is hiring an Administrative Technician. This position works in the Support Services Division, Office of the Fire Marshal and will support and manage daily inspection schedules, customer relations, fiscal management, and responsibilities as required by the Chief Fire Marshal.
Responsibilities
Essential Job Functions:
- Managing daily inspection schedules for Fire Code Inspectors, coordinating with property management/engineers to resolve scheduling conflicts;
- Preparing correspondence related to inspections, scheduling, reporting, and violations;
- Verifying and updating customer property addresses;
- Analyzing fire code violations to ensure accuracy for fee processing and follow-up upon receipt of inspection results;
- Generating invoices accurately according to fee schedules and ensure prompt payment processing;
- Receiving and processing fee payments, maintaining accuracy and compliance with accounting standards;
- Monitoring customer accounts for non-payments, delays, and other irregularities;
- Drafting correspondence for past-due accounts and collections and contact delinquent accountholders to facilitate payment;
- Investigating and resolving billing issues, customer discrepancies, and overdue amounts;
- Conducting monthly, quarterly, and annual reconciliations;
- Utilizing various software tools (First-Due, MS Office Suite, Teams, SharePoint, Outlook, PRISM+, etc.) for scheduling, permit tracking, receivables management, and correspondence drafting; and
- Performing general office duties such as answering phones, overseeing mail, and scanning documents.
Minimums
QUALIFICATIONS
Education: Completion of the requirements for graduation from a standard senior high school or vocational school, a GED certificate, or the equivalent; plus
Experience: Some experience providing administrative support.
Substitution: Successful completion of additional college coursework from an accredited college or university may be substituted for the experience requirement.
Desirables: Preference may be given to applicants who possess experience or one or more of the following:
- Working in a public safety environment;
- Working with data entry/database/records management, and word processors;
- Database management and extraction of reports;
- Using Microsoft Office Suite;
- Processing invoices and billing;
- Extensive work scheduling and tracking experience; and/or
- Extensive customer service experience which included resolution of minor to complex issues.
Special Requirements
Upon hire, attend and successfully complete the Department of Housing and Community Development CORE Module which will be provided by Department.
A Pre-Employment records check will be conducted. It may include checks of the following: criminal record, driving record, education, professional licensure, references, and credit history. You may be required to sign a release authorizing the County to obtain your background information.
Additional Information
Work Hours: Monday through Friday, 7:00 a.m. to 3:00 p.m., with occasional evening or weekend work depending on departmental needs. Some telework is available contingent upon workload and supervisor approval.
