JOB SUMMARY
This position reports to the Communications Manager. Under general supervision, creates, designs, and produces collateral and communications materials; supports the City’scommunications needs from concept to completion; produces public information materials to keep the public and employees informed about City activities and accomplishments; prepares mailings, surveys, and other materials for distribution; and performs related work as required. The incumbent is responsible for creating and distributing compelling content across multiple platforms to communicate with the city’s audiences and drive traffic to its websites. This role also provides executive and operational support for the Mayor’s Office.
ESSENTIAL FUNCTIONS
Communication duties include:
- Recommends innovative and promotional avenues of communication for various types of media and suggests effective communication strategies to management.
- Creates regular, relevant content for websites, social media, e-newsletters, and other communication channels.
- Attends and actively participates in City events, meetings, and activities as needed, which may occur during or after regular work hours and on weekends.
- Supports Communications Manager in responses to inquiries and complaints received from citizens and community stakeholders.
- Helps facilitate advertising, promotions, publicity, and public outreach activities.
- Capture photographs and create, edit, and produce video content to showcase City programs, events, and services.
- Supports the Communication Manager and city departments with website content updates and maintenance.
- Facilitates social media engagement with residents through regular posts and interaction.
- Handles job stress and interacts effectively with others in the workplace.
- Researches data and creates publications, newsletters, brochures, flyers, and other materials for the City.
- Assists Communication Manager and serves as backup when needed for the creation of press releases and coordination of media relations.
- Logs and maintains files of City press releases;
- Maintains a photo library of City events and personnel;
- Performs other duties as assigned
Executive support duties include:
- Provides administrative support to the Mayor; performs a variety of clerical and administrative functions for the department, including appointments to citizen committees.
- Receives, opens, date stamps mail and routes to appropriate department personnel; mails out departmental mail.
- Serves as the liaison between the general public, BOMA, and Mayor to assist residents navigating through City services and works to build better working relationships with constituents;?
- Establishes and maintains mailing lists of internal and external contacts for Mayoral communications, social functions and community events;
- Assists Mayor with projects and specific administration duties directly related to the operation of the Mayor’s Office;
- Researches and provides background information for Mayoral appearances and Civic Events;
- Researches & prepares proclamations and coordinates schedules.
- Prepares mailings to residents from the Mayor’s office or general communications
KNOWLEDGE AND SKILL REQUIRED
- Knowledge of City policies and procedures;
- Knowledge of Microsoft Office & Adobe Suites;
- Ability to pay close attention to details;
- Demonstrated fluency in multimedia and digital content, including photography, video editing, social media, and website best practices;
- Ability to perform several tasks with minimal direct supervision;
- Ability to effectively communicate verbally, in writing, and in public settings; with co-workers, the public, and elected and appointed officials;
- Ability to work independently and as a part of a team; coordinating projects and tasks;
- Ability to establish and maintain working relationships with City administration, other employees, and the general public.
PHYSICAL DEMANDS AND WORK ENVIRONMENT
- Environment: Work is typically performed in an office and in a stationary position at a desk. May require travel for events and exposure to occasional inclement weather.
- Physical: Occasionally lifts objects, uses equipment requiring a high degree of dexterity, and must be able to distinguish between shades of color.
- Visual: See in a normal visual range with or without correction. Specific vision abilities required by this job include close vision and the ability to adjust focus.
- Hearing: Hear in a normal audio range with or without correction.
SUPERVISORY CONTROLS
This position reports to the Communications Manager.
MINIMUM QUALIFICATIONS
- A Bachelor's degree from an accredited college or university with major course work in journalism, communications, public relations or a related field
- A minimum of two (2) years of experience in the areas of marketing, communications, journalism, or public relations is required.
- Or equivalent combination of directly related experience and education
