Position Summary:
Underdirection of the elected Superior Court Judge or his/her designee, performs a variety of legal secretarial duties and some administrative duties of considerable difficulty for the Superior Court. Judicial Assistant also serves as Bailiff, Law Librarian, Satellite Site Coordinator, and Court Administrator's Assistant.
Essential Job Functions:
- Prepares and maintains daily/ weekly court calendal for Judge and all visiting judges by scheduling hearing, trials and other court-related activities. Coordinate courtrooms, court reporters and clerks for superior court judge, visiting judges, attorneys, jail and any other parties involved in a court hearing.
- Maintain files, correspondence, minute orders and appeals in out-of-county cases.
- Prepare, photocopy and distribute jury instructions in all jury trials;
- File pleadings, photocopy and mail copies to appropriate parties;
- Take dictation and transcribe orders, memoranda and correspondence; Type court orders, memoranda of decision, and various types of correspondence as instructed by the judge; Draft documents for approval by superior court judge;
- Review court files for completeness and accuracy prior to presentation to the judge.
- Serves as the judicial liaison for the division by answering, directing and responding to incoming calls from the legal community, the public and court staff in accordance with policy;
Duties and Responsibilities:
- Sort and distribute daily mail;
- Prepare and keep an account of annual budget for superior court, conciliation court and law library.
- Prepare demands and travel claims, and submit for payment in a timely manner;
- Make travel arrangements for superior court judge and visiting judges.
- Order office supplies and maintain adequate stock
Education and Experience:
- High school diploma or equivalent.
- A minimum of one (1) year of progressively responsible clerical and/or administrative experience.
- OR an equivalent combination of experience, education and training which provides the desired knowledge, skills and abilities
- Type at the minimum speed of fifty (50) WPM.
- Maintain confidentiality of court proceedings and documents.
Ability to learn and understand Knowledge, Skills & Ability:
- Applicable State of Arizona statutes, rules, administrative orders, policies and procedures, Federal rules and requirements
- Adhere to the Arizona Code of Conduct for Judicial Employees, as well as Clerk of Court and La Paz County policies.
- Considerable knowledge of court procedures and legal terminology
- Exercises considerable initiative, latitude and independent judgment, with limited supervision, making decisions regarding case flow management for the division, such as requests to calendar and/or vacate hearings or trials and calendar additions.
- Substantial knowledge of legal office procedures and practices
- Ability to understand and follow brief oral and written instructions
- Time management, organization and adherence to detail
- Interpersonal skills that support working with a diverse group of individuals that include judges, court staff, litigants, attorneys and the general public
Required Licensee and Certification:
- Must pass extensive criminal background and normal reference checks
- Must possess a valid Arizona driver’s license without restrictions throughout the length of employment
- All employees are required to complete 16 hours of Co-jets annually. You are required to complete 6 hours live/in-person training. All employees MUST complete the following two requirements:
- Ethics-30 minutes minimum
- Cyber Security-30 minutes minimum
