SUMMARY

Office Specialist may be a full-time or part-time position, responsible for providing exceptional customer service by answering incoming calls, greeting visitors, processing payments, and assisting participants with registration for recreation programs and requiring knowledge of all facilities and park rentals, scholarship information, or general District-related questions, as well as assisting in promoting the District in preparing for activities and events.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Support:

· Answer incoming calls, route inquiries to appropriate staff, and provide basic information.

· Greet visitors at the front counter, answer questions about recreational classes, activities, and events, and assist in registration.

· Ability to screen, assess, and guide customers to find appropriate facility rental(s) and child programming needs.

· Process payments, receive and receipts monies from the public for programs and facility reservations.

· Maintain accurate facility use calendars using the District Recreation Management Software.

· Type documents accurately at a minimum of 40 wpm.

· Ability to learn and use essential computer software.

· Assist in promoting the District and preparing for activities and events.

· Create flyers (Canva Software) and promote events by using social media. (Facebook, Instagram, etc.)

Professional Development:

· Attending and completing applicable online/in-person training sessions and orientations.

· Demonstrate a willingness to learn and take on new tasks.

· Cross-training at all of JARPS’s facilities.

· Regular and timely attendance is mandatory.

EDUCATION and EXPERIENCE

Minimum Requirements:

· High school diploma or general education degree (GED) and six months related experience.

LANGUAGE SKILLS

Strong Communication skills are essential for this role.

· Effectively interpret and apply information from various documents, including safety rules, operating instructions, and procedure manuals.

· Clearly and concisely write routine reports and professional correspondence.

· Confidently deliver presentations to audiences such as customers, employees, or organizations.

· Bilingual is a plus.

MATHEMATICAL SKILLS

· Basic math skills: The ability to add, subtract, multiply, and divide is essential, using whole numbers, common fractions, and decimals.

REASONING ABILITY

· Can identify and solve problems with clear steps and predictable outcomes using commonsense.

CERTIFICATES, LICENSES, REGISTRATIONS

Driver’s License & Insurance:

· A valid California Driver’s License or California Identification Card

· Proof of current and up-to-date vehicular insurance.

First Aide/CPR Certification

· Current First Aid/CPR certification for infants, Children, and Adults is required.

· If you don’t currently hold this certification, you must obtain it within 60 days of the hire date.
