Annual Pay Range: $76,684.52 - $103,523.99

If you answered “yes” to the questions above, we want you to join our team as a Legal Office Supervisor within the Criminal Division of the Clackamas County District Attorney's Office. This is a unique opportunity as we are recruiting two (2) Legal Office Supervisors as a result of this job posting. Legal Office Supervisors serve as key members of our leadership team and are responsible for supervising a team of twelve (12) Legal Assistants and Digital Evidence and Discovery Technicians. This includes managing workload assignments, reviewing work for accuracy, providing coaching and feedback, and hiring, training and evaluating employees. Further, Legal Office Supervisors are involved in planning, organizing, implementing, and improving policies and procedures that support department goals to ensure quality and timely services are provided to the community members served by the District Attorney's Office.
This is a critical role within the Criminal Division that requires excellent attention to detail, strong organizational skills, thorough knowledge of legal support work and court processes, and a demonstrated ability to communicate effectively in both verbal and written formats about complex, impactful matters. We are seeking experienced individuals who are highly motivated, conscientious, dependable, and able to effectively manage challenging or stressful situations with consistency and composure.

Required Minimum Qualifications/ Transferrable Skills:*
• A minimum of four (4) years of related experience that would provide the required knowledge and skills to perform the responsibilities of this position
• A minimum of four (4) years of progressively responsible professional experience in a legal office or criminal justice setting. This experience may be obtained by working at a private law practice, law enforcement agency, nonprofit, or other organization that focuses on primarily on legal work.
• A minimum of two (2) years of lead work/trainer experience that may include leading projects, programs or initiatives, or leading the work of others, such as providing daily work direction and/or scheduling, assigning work, checking completed work, and providing coaching and comprehensive training on relevant subject matters
• Experience assisting with policy and procedure development and/or implementation
• Experience researching, analyzing and making data-informed decisions
• Experience evaluating workflow and re-prioritizing to meet business needs in a fast-paced environment
Preferred Special Qualifications/ Transferrable Skills:*
• Supervisory experience to include hiring, training, reviewing work, setting performance goals, providing coaching and feedback, maintaining confidentiality of personnel matters, conducting performance evaluations, and taking corrective actions when needed
• Experience supervising in a legal, judicial, or law enforcement setting
• Experience with managing employee performance in a government and/or union environment
• Experience in a leadership role that included responsibilities of working with staff on professional development
• Familiarity with support processes related to criminal prosecution and/or civil litigation
• Experience with the Prosecution by Karpel (PbK) case management system
• Intermediate proficiency with Microsoft Excel, Word and Outlook

TYPICAL TASKS
Typical tasks include, but are not limited to:
• Performance Management: Set performance expectations and goals, evaluate work performance, complete formal work audits, identify strengths and opportunities for improvement, and document coaching and provide feedback, supervise training and assess trainee progress. Develop performance improvement plans, recommend and deliver progressive discipline as necessary.
• Development of Policies and Procedures: Collaborate with internal and external stakeholders to develop workflow solutions and recommend policy and procedure changes to senior management. Upon approval, document or supervise documentation of changes in knowledge base. Disseminate updated documentation. Analyze the effect of changes after implementation and make further recommendations/updates as needed.
• Hiring Staff: Develop job posting language including minimum/preferred qualifications, develop interview questions and test protocols, assemble interview panels, schedule and conduct interviews, complete reference checks, and make hiring decision recommendations. After hiring decisions are approved, coordinate onboarding activities including pre-employment activities, training, setting up equipment and systems access, and general office orientation.
• Timekeeping: Receive and document time off requests, call outs, and other absence requests and notifications, compare actual staffing to established minimum staffing needs, approve or deny time off in accordance with county policies, approve time sheets. Coordinate with Legal Assistants to plan for known staffing challenges.
• Legal Support Work: Complete legal support work that is assigned to direct reports, which may include intake, discovery, closing cases, sending subpoenas, docketing, or other assigned duties.
WORK SCHEDULE
This position works 40 hours during a standard workweek of Monday through Friday. Specific hours of work will be discussed with the candidate selected for this position at the time an offer of employment is extended.
