PAY AND BENEFITS
Annual Pay Range: $50,222.70 - $63,454.30
Hourly Pay Range: $24.145530 - $30.506877
Salary offers will be made within the posted pay range and will be based on a candidate's experience (paid or unpaid) that is directly relevant to the position.

JOB DETAILS AND QUALIFICATIONS
Clackamas County's Health Centers Division is seeking an Office Specialist 2 (Bilingual Spanish) to join our team at the Lake Road Health Centers Clinic located in the Milwaukie area. The Office Specialist plays a key role year-round, supporting clinical operations in a complex clerical capacity. Responsibilities include registering new clients, verifying insurance benefits, answering and directing phone calls, scheduling appointments, processing data requests from clinicians, and performing other office-related tasks as assigned.
The ideal candidate will be detail-oriented and customer service-driven. This position requires flexibility, attention to detail, and excellent communication skills when interacting with both staff and clients, whether over the phone or in person.

Required Minimum Qualifications/ Transferrable Skills:*
• Minimum of two (2) years of relevant experience in office support or similar role that would provide the required knowledge and skills to perform the duties of the job
• Bilingual English/Spanish proficiency
• Experience in positions providing exceptional customer service
• Experience in positions providing accurate data entry
• Experience in positions handling a high volume of calls and greeting walk-in visitors
• Experience in positions using standard office equipment (telephone, fax machine, copy machine, computer, etc.)
• Experience working in a front desk or receptionist capacity
• Strong verbal and written communication skills, including the ability to communicate well with members of diverse populations
• Ability to maintain composure in stressful situations when dealing with a variety of people
Preferred Special Qualifications/ Transferrable Skills:*
• Experience working in an environment with the focus of supporting mentally ill individuals or those who experience substance use disorders
• Experience working within a primary care and/or behavioral health setting
• Two (2) or more years experience providing customer service
• Two (2) or more years in data entry experience
• Two (2) or more years experience in a front desk or receptionist capacity
• Experience providing support with client intake and registration processes including verification of insurance benefits
• Experience working in EPIC or similar health record software programs
• Experience working in the OpenFit database program

TYPICAL TASKS
Client Registration & Intake
• Register new clients for behavioral health services, including verifying insurance benefits and entering demographic, financial, and insurance information.
• Explain the intake process, financial sliding fee scale, and patient responsibility for fees.
• Schedule clients in the EMR system.
• Assemble intake packets, ensuring all required documents, resource cards, and information are included based on age group and language needs.
Client Check-In & Front Desk Duties
• Check in clients and verify demographic information, primary care provider (PCP), emergency contact, and health insurance details.
• Collect fees, issue receipts, and notify mental health providers of client arrivals.
• Register clients in the OpenFit database.
Telephone & Communication Management
• Answer and direct phone calls, screen requests, and schedule or cancel appointments in the EMR system.
• Notify the provider and supervisor group of appointment cancellations for clients on a suicide prevention pathway.
• Relay client messages via email when they are unable to leave voicemails.
• Provide referrals to other agencies and community resources, such as Social Services and Public Health.
Administrative Support
• Send and manage faxes for remote staff; sort and distribute incoming faxes using RightFax.
• Photocopy materials for intake packets and staff requests, including troubleshooting copier issues.
• Print and mail client correspondence on behalf of staff, including workbooks for group clients.
WORK SCHEDULE
This position works 40 hours during a standard workweek of Monday through Friday. Specific hours of work will be discussed with the candidate selected for this position at the time an offer of employment is extended. This position is designated as on-site/in-person. It is expected that the selected candidate will perform duties at the specified on-site work location.
