The incumbent is responsible for providing an advanced level of support to the Fire Chief / Emergency Management Director including administrative and clerical functions, managing calendar and engagement schedules, and associated duties related to the effective operations of the Fire Department and emergency operations. The incumbent will represent the Fire Department and City of Fort Myers as required at meetings and activities. This job has no supervisory responsibilities.
Responsibilities And Reporting During An Emergency Situation
Essential Employees may be required to work during a declared emergency. Depending on the nature of the emergency, this may require working around the clock for several days on short notice.
Non-Essential Employees will not be required to work during a declared emergency. The employee’s Department Head will determine when the employee will be required to work.

Duties/Responsibilities
- Provides direct assistance to the Fire Chief/Emergency Management Director on diverse matters related to the effective operation of the fire department and emergency operations.
- Responsible for coordinating, scheduling, and aiding in activities for the Fire Chief to include but not limited to maintaining calendar and engagements.
- Serve as a liaison between senior management, other city departments, vendors, and internal fire department staff and streamline the flow of information.
- Responsible for effective written and verbal communication, written documentation, and virtual meetings.
- Maintain the highest level of confidentiality with sensitive information.
- Manage Public records requests in a timely fashion in accordance with all laws and regulations.
- Be familiar with document retention laws, statues, regulations, and policies.
- Assist with distributing subpoenas and other important documentation.
- Prepare weekly, monthly, and quarterly reports as directed.
- Responsible for preparing city council agenda items and tracking required actions.
- Assist with annual budget preparation and assist with monitoring the fiscal budget throughout the fiscal year.
- Responsible for administrative functions including but not limited to organizing and maintaining electronic and physical file systems, prepare correspondence, prepare reports, answer phones, manage emails, and greet visitors.
- Create, manage, and manipulate PowerPoint slide shows, Excel spreadsheets, and Microsoft, and Canva.
- Responsible for ordering and maintain essential supplies and handling of procurement process.
- Represent the fire department at meetings and activities as directed.
- Responsible for projects including but not limited to research, data analysis and data compilation.
- This position requires regular and reliable attendance and the employee’s physical presence at the workplace. This position also requires at times attendance at events, meetings and activities on evenings and weekends.
- Operate a motor vehicle when required.

KNOWLEDGE,SKILLS,ANDABILITIES
- Proficient in the use of word processing, spreadsheet, database, and presentation software.
- Ability to operate necessary equipment, including computer, printer, copier, facsimile machine, scanner, and calculator.
- Ability to represent the Fire Department confidently and competently at meeting and activities including those with external audiences.
- Possesses an in-depth knowledge and understanding of the fire department, mission statement and purpose statement.
- Understands the fundamental functions of Emergency Management.
- The position supports Emergency Management leadership, and the incumbent will be required to be present during emergency operations activations.
Minimum Requirements
- Associate’s degree or five (5) years of administrative and or customer service experience that provides the required knowledge, skills, and abilities.
- Experience in public speaking and presentation in a group environment.
- Must possess a valid Florida Drivers License with an acceptable drivers record.
- Certification in FEMA / ICS 100, 200, IS 700, and IS 800 within one year of appointment.
