PAY AND BENEFITS
Annual Pay Range: $68,097.49 - $91,932.12
Hourly Pay Range: $32.739179 - $44.198134
Salary offers will be made within the posted pay range and will be based on a candidate's experience (paid or unpaid) that is directly relevant to the position.

JOB DETAILS AND QUALIFICATIONS
Clackamas County's Housing and Community Development Division (HCDD) is seeking a skilled and motivated Executive Assistant. In this role, you will provide high-level administrative support to our executive leadership team, playing a crucial part in advancing our mission of strengthening housing stability, expanding economic opportunity, and improving communities across the county.
HCDD is dedicated to overseeing housing, community development, and homelessness response programs across the county. We support low- and moderate-income residents through affordable housing development, rehabilitation and loan programs, community improvements, and essential homeless services. This position will help ensure smooth, people-centered operations for the division's executive team, furthering our commitment to the community.
As the Executive Assistant, you will support the Executive Director/Division Director and two deputy division directors by managing complex calendars, coordinating meetings, preparing professional materials, and representing leadership in day-to-day interactions. You will be able to handle confidential matters with discretion and oversee event logistics efficiently.
The ideal candidate is proactive, organized, and steady under shifting priorities. You anticipate needs, communicate clearly, and handle sensitive situations with professionalism. You are comfortable managing multiple deadlines, preparing polished communications, and coordinating both virtual and in-person events. You bring clarity and structure to a fast-moving environment. Required Minimum Qualifications/ Transferrable Skills:*
• A minimum of two (2) years of relevant experience providing administrative support to executives, senior leaders, or high-level managers
• Experience managing complex calendars, coordinating meetings, and preparing professional documents
• Experience coordinating meetings or events, including logistics such as room setup, virtual meetings, and materials preparation
• Familiarity with employee and labor relations, grievance procedures, and confidential HR processes
• Strong organizational skills with the ability to handle multiple priorities, deadlines, and interruptions
• Demonstrated ability to maintain confidentiality and exercise good judgment, particularly around sensitive personnel or labor-related matters
• Strong communication skills, both written and verbal
Preferred Special Qualifications/ Transferrable Skills:*
• Experience working in government, human services, or housing programs
• Experience supporting multiple leaders simultaneously
• Experience in drafting reports, presentations, and executive-level communications
• Proficiency with virtual meeting platforms and collaborative tools (e.g., Zoom, Teams, SharePoint, Adobe, etc.)
• Knowledge of project management practices or workflow coordination in a public-sector setting

TYPICAL TASKS
Duties may include, but are not limited to, the following:
• Assist HCDD executive team (one executive director/division director, two deputy division directors) with administrative duties; represents and acts on behalf of executive at various meetings and conferences; prepares, compiles or edits reports and other materials for use in operational planning and processes, presentations, and public meetings; manages calendar and coordinates and schedules various appointments, meetings, events, and conferences.
• Prioritizes and summarizes critical or urgent issues directed to the department or division manager; directs inquiries from the public, employees, supervisors, and other staff to appropriate individuals other than the manager; conducts follow-up investigations into unresolved complaints; may prioritize, reallocate time, and schedule for department or division management. Provides confidential support to management with disciplinary or grievance-related actions, drafting documentation, and following up on deadlines.
• Coordinate logistics for internal and external complex meetings and events, including securing meeting spaces, organizing virtual or hybrid meeting set-ups, and arranging catering. Track attendance, prepare event materials, and provide on-site support.
• Monitor and order office supplies; receive and sort mail and packages; print conference room schedules; and monitor the general HCDD Admin inbox. Provide back-up support for signature approvals and travel/training coordination.
WORK SCHEDULE
This position is included in the county's alternate workweek program, working 40 hours during a standard workweek of Monday through Thursday (Fridays off). Specific hours of work will be discussed with the candidate selected for this position at the time an offer of employment is extended. The exact amount of on-site/telework and schedule will be discussed with the hiring manager at the time of offer. Telework locations cannot be located outside of Oregon or Washington.
