PAY AND BENEFITS
Hourly Pay Range: $23.549548- $29.507168
Salary offers will be made within the posted pay range and will be based on a candidate's experience (paid or unpaid) that is directly relevant to the position.

The Children, Family & Community Connections Division is looking for an Office Specialist 1 to serve as the primary front-desk receptionist and provide essential administrative support that keeps our office running smoothly and our community well-served.
The Office Specialist 1 is the first point of contact for visitors, clients, community partners, and staff. This role manages the front desk, answers incoming calls, responds to questions offering general information about programs and services, and ensures individuals are connected with the right staff or services. This position also supports daily office operations, maintains accurate documentation, organizes supplies, and helps ensure our team has the resources needed to provide high-quality service to the community.

The Office Specialist also helps maintain organized office systems by managing basic documentation, updating staff contact and scheduling information, keeping shared files current, and ensuring supplies and materials are stocked and accessible. By combining strong customer service with reliable administrative support, this role plays an essential part in creating a positive, efficient, and responsive environment for both the public and staff!
Required Minimum Qualifications/ Transferrable Skills:*
• A minimum of one (1) year of related experience that would provide the required knowledge and skills to perform the responsibilities of this position.
• Experience providing customer service or administrative support in an office environment.
• Strong communication skills (in person and over the phone).
• Basic computer proficiency, including MS Office and file organization.
• Ability to stay organized, manage multiple tasks, and work with diverse staff and community members.
Preferred Special Qualifications/ Transferrable Skills:*
• Experience working in a human services or government setting.
• Experience dealing with people experiencing mental health crises.
• Advanced computer proficiency in MS Office, Adobe and other common applications.
• Familiarity with MS Teams, SharePoint or similar communications platforms.
• Experience developing graphics and communications materials, such as fliers.

TYPICAL TASKS
Description of Duties
• Greet and assist visitors in person and via telephone, serving as the primary forward-facing contact for the division.
• Provide customer service by answering questions, offering general program information, and directing callers and guests to appropriate staff or resources.
• Support meetings and events by assisting with scheduling, including use of Doodle polls, Outlook calendars, and coordination of logistics.
• Coordinate translation and interpretation services as needed for staff, visitors, and community members.
• Maintain and update team documentation such as staff contact lists, office schedules, resource files, and SharePoint content to ensure information is current, accurate, and easily accessible.
• Assist with processing data, organizing documentation, and filing electronic and physical records.
• Monitor and order office supplies, including general office materials, kitchen items, and first aid supplies.
• Assist with preparing notes, handouts, informational materials, and education packets for staff, meetings, and community needs.
• Oversee office equipment needs, including copier supply replenishment, repair requests, and basic troubleshooting.
• Serve as a liaison with Facilities, Fleet, and Technology Services to support office needs, request services, and coordinate equipment or space-related solutions.
• Maintain organized shared files and contribute to the smooth flow of daily office operations.
WORKING CONDITIONS
Duties may include contact with individuals from varied socioeconomic groups or individuals who are hostile and/or emotionally distressed and in need of Clackamas County services.
WORK SCHEDULE
This position is included in the County's alternate workweek program, working 40 hours during a standard workweek of Monday through Thursday (Fridays off). Specific hours of work will be discussed with the candidate selected for this position at the time an offer of employment is extended.
This position is designated as on-site/in-person. It is expected that the selected candidate will perform duties at the specified on-site work location.
