There are three (3) vacancies for Secretary III with the City and County of Honolulu.
The
Department of Planning and Permitting (DPP), Land Use Permits Division, is looking for an experienced secretary to fill one (1) vacancy in Honolulu. As a
Secretary III, you will perform secretarial, administrative, and clerical tasks as the Secretary to the Chief Planner.
What You Will Do - Organize and coordinate matters that require executive attention, including researching files and other background material and summarizing and briefing materials.
- Distribute incoming material as assigned by the Division and/or Chief Planner.
- Prepare routine correspondence, and type letters, memorandums, reports, and other materials.
- May supervise the Division clerical staff and handle most of the branch work when the clerical staff are on leave.
***Salary rate for the Department of Planning and Permitting is the entry rate: $4,388 per month***
The
Department of Design and Construction (DDC),
Facilities Division, is looking for an experience secretary to fill one (1) vacancy in Honolulu. As a
Secretary III, you will be responsible for carrying out administrative secretarial services to the Chief/Assistant Chief of the Facilities Division along with providing support to the division staff.
What You Will Do- Manage executive calendars and communications, including all incoming and outgoing written correspondence, phone calls, etc.
- Independently review and prepare letters and correspondence following instructions and ensuring all division communications are accurate and conform to policies and procedures.
- Oversee the maintenance and filing of division records for payroll, budget, plans, reports and confidential correspondence.
- Mentor and supervise support staff.
***Actual salary for the Department of Design and Construction will be commensurate with applicable experience, pending approval: $4,388 - $5,338 per month***
The
Department of Transportation Services (DTS)
,Transportation Engineering Division, is looking for an experienced secretary to fill one (1) vacancy in Honolulu. As a
Secretary III, you will provide high-level secretarial and administrative support to the Chief and Assistant Chief Traffic Engineers of the City by keeping information flowing smoothly, documents well-organized, and operations running efficiently.
What You Will Do - Organize and coordinate matters that require administrative attention.
- Review correspondence pertaining to the Transportation Engineering Division, notes necessary actions with deadlines, delegates and follows up on all assignments.
- Prepare routine correspondence, and type letters, memorandums, reports, and other materials.
- Supervise, train, assign and review subordinates' work products.
Special Work Requirements
- Designated as Disaster Support Worker (DSW) per Mayor's Directive 13-1, must be able to perform shift work during emergency events or during EOC activation, work on weekends, and holidays, and able to work outside normal working hours when necessary.
