SUPERVISION RECEIVED: Works under the direct supervision of the Mayor or designee.
SUPERVISION EXERCISED: Provides direction and oversight to Amphitheater employees, volunteers, and event staff.
POSITION CLASSIFICATIONS: The position of Amphitheater Events Coordinator in the City of Stow is unclassifiedby the Stow Civil Service Commission, is non-exempt under the Fair Labor Standards Act and is not includedin a collective bargaining agreement.
PURPOSE: The Amphitheater Events Coordinator is the primary onsite host, coordinator, and customer service lead for all events at the City of Stow Amphitheater. This role ensures an exceptional guest and performer experience and serves as the central point of contact for clients, performers, staff and community partners. This role combines venue operations, client services, onsite logistics, sales support, and programming coordination, functioning as a seasoned hospitality manager for a dynamic, multi-use outdoor venue.
Essential Functions
- Serve as the primary point of contact for all amphitheater users, including performers, staff, VIPs, and the community
- Ensure a high-quality guest experience including event setup, crowd flow, amenities, food service, restroom access, signage, accessibility, parking/traffic coordination, ambiance, and overall safety.
- Provide day-of coordination and onsite problem-solving.
- Manage pre-event communication, walkthroughs, expectations, and hospitality needs.
- Build and maintain operational systems, policies, and procedures in collaboration with the Mayor's Office.
- Coordinate staffing needs and serve as the onsite lead during events at the Amphitheater.
- Keep detailed records of events, issues, and improvements.
- Support use inquiries, tours, and client cultivation with a friendly, service-oriented approach.
- Assist in building pricing, packages, and target markets for amphitheater usage.
- Coordinate with the Communications Team on marketing, promotional materials, website updates, and social media efforts
- Build and maintain a trusted list of vendors and service partners to ensure consistent quality.
- Assist in the development and coordination of an amphitheater event calendar for concerts, programs, festivals, and performances, in partnership with the Parks & Recreation team.
- Support community outreach and identify potential programming partners such as festivals, arts organizations, and family-friendly entertainers.
- Engage performing arts and community organizations to increase awareness and utilization of the space.
- Work closely with the City staff to receive recommendations on operations, hospitality, and business development.
- Ensure compliance with all applicable safety regulations, permits, and City policies, including coordination with Police, Fire, and other departments for event readiness.
- Responsible for and assist with coordination of in-house and external sound and technical needs to support event operations.
- Identify equipment and operational needs and provide recommendations for improvements.

Qualifications
- Bachelor’s degree in communications, event management, hospitality, marketing, public administration, or a related field, or equivalent combination of education and experience.
- Minimum of 2-4 years of experience in event coordination, venue operations, hospitality management, or related field.
- Shall maintain a valid Ohio driver’s license through entirety of employment with an acceptable driving record and insurable through City of Stow insurance carrier.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic computer skills.
- Strong organizational skills with attention to detail.
- Ability to manage time effectively and prioritize multiple tasks.
- Professional communication skills, both written and verbal.
- Ability to work independently and as part of a team.
