The City of Anaheim isseeking an experienced professional to work as the Event Services Manager, leading the events team at the Anaheim Convention Center an operation within the Convention, Sports & Entertainment department in the city.
This leadership role will supervise and coordinate the successful delivery of conventions, trade shows, meetings, and special events by managing event management staff, coordinating operational departments, and maintaining strong relationships with clients and partners.
Candidates must possess six (6) years of experience in the events industry. Prior experience in a convention center or similar type venue is highly desirable.
The Anaheim Convention Center (ACC) is the largest convention center on the West Coast, having hosted such large, well-attended events as the NAMM Show, Disney's D23 Expo and Natural Products Expo West. Originally opened in 1967, the ACC currently spans 53 acres and the offers 1.8 million square feet of function space and many dynamic features.
The following functions are typical for this classification. Incumbents may not perform all of the listed functions and/or may be required to perform additional or different functions from those set forth below to address business needs and changing business practices.
- Coordinate the organization, staffing, and operational activities of Event Services at the Anaheim Convention Center.
- Participate in the development and implementation of goals, objectives, policies, and priorities for Event Services; recommend and implement resulting policies and procedures.
- Identify opportunities for improving service delivery methods and procedures; identify resource needs; review with appropriate management staff; implement improvements.
- Direct, coordinate, and review the work plan for Event Services; assign work activities and projects; monitor work flow; review and evaluate work products, methods and procedures; meet with staff to identify and resolve problems.
- Participate in the selection of assigned personnel; provide or coordinate staff training; work with employees to correct deficiencies; implement discipline and termination procedures.
- Participate in the development and administration of assigned program budget; forecast funds needed for staffing, equipment, materials, and supplies; monitor and approve expenditures; recommend adjustments as necessary.
- Schedule staff to ensure that all events are professionally coordinated; assign Event Managers to scheduled events; perform all duties of the Event Managers including planning, managing, and coordinating the more difficult, complex and/or highly sensitive events.
- Resolve disputes that may arise as a result of simultaneous events; maintain a continuous professional working relationship with other section managers to ensure smooth operations during events.
- Maintain and facilitate communications between contractors, employees and the public by providing technical convention center information.
- Provide staff assistance to the Convention Center Manager; participate on a variety of committees; prepare and present staff reports and other correspondence as appropriate and necessary.
- Coordinate assigned activities with those of other divisions and outside agencies and organizations.
- Attend and participate in weekly staff meetings and post convention meetings to ensure problems are addressed and strategies developed to avoid recurring problems.
- Perform related duties as required.
Experience and Education: Six (6) years of responsible professional experience in coordinating events for a large convention center or similar meeting facility including one year of administrative and/or lead supervisory experience supplemented by college level course work in hospitality, business administration, communications, public relations, or a related field. An equivalent combination of experience and education sufficient to perform the essential job functions and provide the required knowledge and abilities is qualifying.
Knowledge of: Operational characteristics, services, and activities of event services; advanced methods and techniques involved in managing, coordinating, and planning complex and sensitive events; convention center operations and how they apply to the successful running of events; principles of facility management; financial administration in accounting, budgeting, audit and fiscal planning; labor relations processes; grievance handling processes and Memorandum of Understanding (MOU) content; contract formats and contract administration; principles of municipal budget preparation and control; principles of supervision, training, and performance evaluation; principles and procedures of record keeping; methods and techniques of proper phone etiquette; principles of business letter writing and report preparation; modern office procedures, methods, and equipment including computers; computer applications such as word processing, spreadsheets, and statistical databases; pertinent federal, state, and local laws, codes, and regulations.
Ability to: Coordinate and direct event services; supervise, direct, and coordinate the work of lower level staff; select, supervise, train, and evaluate staff; recommend and implement goals, objectives, policies and procedures for providing event services; perform a variety of complex and difficult administrative duties involving the use of independent judgment and personal initiative; understand the organization and operation of the City and of outside agencies as necessary to assume assigned responsibilities; understand, interpret, and apply general and specific administrative and departmental policies and procedures as well as applicable federal, state, and local policies, laws, and regulations; participate in the preparation and administration of assigned budgets; plan and organize work to meet changing priorities and deadlines; effectively represent the City to outside individuals and agencies to accomplish the goals and objectives of the unit; work cooperatively with other departments, City officials, and outside agencies; respond tactfully, clearly, concisely, and appropriately to inquiries from the public, City staff, or other agencies on sensitive issues in area of responsibility; make changes or correct deficiencies to tenant satisfaction; analyze complex schedules of both facility and personnel to provide effective event staffing; prepare invoices for tenants; advise, negotiate and monitor costs and accounts for tenants; provide leadership and coordinate the activities of a large and full service event services operation; read, interpret and enforce legal binding contracts; interpret laws and implement accordingly; read and interpret blue prints to determine feasible use of Convention Center facilities; review room arrangements and make changes or correct deficiencies; disseminate information and communicate in a clear and concise manner to sections within the facility; use discretion and exercise sound judgment; work independently; operate office equipment including computers and supporting word processing, spreadsheet, and database applications; establish and maintain a variety of files and records; perform mathematical calculations; work nights, weekends, and holidays as needed to perform the job duties; plan and organize work to meet changing priorities and deadlines; interpret and explain City policies and procedures; prepare clear and concise reports; communicate clearly and concisely, both orally and in writing; and establish and maintain effective working relationships with those contacted in the course of work.
License/Certification Required: Possession of an appropriate, valid driver’s license.
Environment/Working Conditions
Environmental Conditions: Work is performed primarily in a standard office or event facility environment with extensive public contact and frequent interruptions; exposure to noise, smoke, fumes, gas, dirt, dust, grease, oil, chemicals, solvents and toxic agents, live electricity and all types of weather and temperature conditions; incumbents may be required to work extended hours including evenings, nights, weekends, and holidays.
Physical Conditions: Primary functions require sufficient physical ability and mobility to work in an office setting and event facility environment; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull light to moderate amounts of weight; to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard; to travel to other locations using various modes of transportation; and to verbally communicate to exchange information.
