General Statement of Duties
The Arts & Events Marketing Coordinator is responsible for promoting and marketing arts and events programming organized by Parks & Recreation. This position is also responsible for developing and executing marketing strategies for Parks & Recreation’s arts and events venues. This position requires a creative, detail-oriented individual with a passion for the arts, exceptional marketing skills, and a strong ability to engage diverse audiences. The Arts & Events Marketing Coordinator reports directly to the Arts & Events Manager and will work with Arts & Events team members to develop and execute comprehensive marketing strategies that drive attendance, enhance brand awareness, and foster community engagement.
Distinguishing Features of the Class
Work collaboratively with the Arts & Events Manager to develop strategic marketing plans for upcoming events, programs, and initiatives. The position will craft persuasive messaging that highlights the unique features, benefits, and experiences offered by each event. The work involves coordination with vendors, outside agencies, software application management, strategic planning and graphic design. The position will work with the Parks & Recreation Marketing Manager and the Town of Mooresville Marketing & Communications Manager to ensure proper promotion of programming and effective collaboration.
Duties and Responsibilities
Identify target audiences, define key messaging, and determine appropriate marketing channels to effectively reach and engage diverse demographic groups.
Create compelling and engaging content for promotional materials, including social media posts, email newsletters, press releases, website content, informational guides and other print materials.
Manage and execute digital marketing campaigns across various online platforms, including social media (e.g., Facebook, Instagram, YouTube), email marketing platform, and event/venue listing websites.
Manages brand reputation by tracking online conversations and brand mentions; monitors brand reputation scores, responds promptly to customer questions and concerns via social media and website messaging platforms, monitors customer reviews, creates feedback surveys and oversees survey execution; evaluates feedback and recommends changes if necessary.
Coordinates content for all advertising channels including billboards, print advertising in local publications, articles, radio ads, Town promotional screens, etc.
Participates in Arts & Events team event strategy meetings to determine signage placement, signage verbiage, event map layout, wayfinding needs, stage needs, etc.
Coordinates social media deliverables for all event sponsors; creates content with messaging consistent with sponsor’s brand; engages with sponsor’s marketing team to ensure collaboration and effective promotion of partnership; prepares sponsor data and marketing reach reports
Monitor campaign performance, analyze key metrics, and optimize strategies to maximize reach, engagement, and conversion.
Design visually appealing promotional materials, including posters, flyers, banners, decals, branded giveaways, apparel, sponsor assets and digital graphics, that align with the organization's brand guidelines and convey the essence of each event.
Works with CMCC staff to ensure printed promotional materials are updated as needed with pricing, approved catering information, policy changes, and maintains appropriate quantity of printed materials.
Drive marketing influenced leads; generate MQLs through activations and support of the CMCC sales team.
Collaborate with graphic designers and other creative professionals as needed to produce high-quality marketing assets.
Maintains all photography/video assets for Arts & Events venues and programming to be used for promotion.
Cultivate relationships with local media outlets, influencers, bloggers, and community partners to secure press coverage and promotional opportunities for events; Prepares and sends promotional information monthly (and as needed) to Arts & Events distribution list for inclusion on partner websites, newsletters and social media (Media partners, Mooresville CVB, MSI Chamber of Commerce, MDC, etc.)
Draft press releases, pitch story ideas, and coordinate media interviews and features to generate buzz and excitement around upcoming events.
Implement strategies to engage and interact with target audiences online and offline.
Foster meaningful connections with community members, artists, performers, and stakeholders through social media engagement, email communications and events.
Drive ticket sales and event attendance through effective promotion and marketing initiatives; Implements targeted advertising campaigns, discount offers, and promotional giveaways to incentivize ticket purchases and boost event attendance.
Builds performances in ticketing platform, oversees Box Office Operations, manages ticketing software.
Maintains and oversees event hardware (i-pad with POS, ticket scanners, etc.), performs maintenance and troubleshooting.
Designs seating charts and room layouts for concerts and events.
Monitors, tracks, and analyzes marketing performance metrics, including website traffic, social media engagement, email open rates, and ticket sales.
Prepares regular reports (including monthly marketing report, cost reports, etc.) to evaluate the effectiveness of marketing efforts and inform future decision-making and strategy development.
Identifies resources needed for marketing efforts, makes budget recommendations, and manages annual marketing budget.
Prepares engaging collateral and displays for tradeshows, conventions and conferences attended by the Arts & Events division.
Collaborates with Legal and Risk Management to ensure proper posted signage at Town events.
Maintains and updates CMCC and Arts & Events website content, including calendar of events.
Coordinates with event production and creates visual aspects of stage displays including digital screens and signage.
Assists with RFPs and RFQs for contracts related to special events.
Creates all registration forms, applications, rules and regulations, information packets and other informational materials for the Arts & Events division.
Builds and maintains contact lists of vendors, downtown businesses, entertainment, food trucks, breweries, sponsors, and volunteer organizations; Coordinates “Call to Artists” and “Call to Vendor” campaigns to recruit participants.
Performs site visits to measure, map and prepare the event footprint for vendors and attendees; designs and creates site maps and parking maps for vendors and attendees.
Maintains inventory of event/promotional signage; places orders for new signage, frames, etc.
Coordinates on-site event logistics for marketing/advertising vendors including photographers, media, videographers, etc.; Oversees and executes day-of-event shot lists; oversees placement of all event signage (pre-event and day-of-event)
Maintains event volunteer, vendor and partner contact lists; creates all media, volunteer, vendor badges for events.
Work includes some extended days, and evening, weekend, and/or holiday hours.
Performs other duties as requested.
Minimum Education And Experience
Associate’s Degree in Marketing, Communications, Arts or Event Management, or a related field.
2+ years of experience in marketing, preferably in the arts, entertainment, or events industry.
Special Requirement: Possession of a valid North Carolina Driver’s license. Work includes some extended days, and evening, weekend, and/or holiday hours.
