The Position
This position aims to support and promote Visit Allen’s strategic mission by representing the organization at industry events, fostering relationships with stakeholders, and coordinating a wide range of marketing, event planning, and operational activities.
Essential Functions

- Assists with the annual marketing plan by contributing ideas and supporting the implementation of initiatives aligned with Visit Allen's strategic mission. Helps develop and execute marketing strategies through research, content planning, and messaging for meeting planners and leisure audiences.
- Assists in digital presence and content management by updating website and events calendar and collaborating with stakeholders to create and promote programs, events, and activities.
- Assists departmental staff by preparing meeting agendas, packets, and documentation, coordinating logistics for meetings, conducting research, preparing promotional materials for trade shows, and organizing site tours to introduce clients to local hotels, restaurants, and attractions.
- Supports event planning by organizing meetings and receptions, collaborating with the team on themes, invite lists, budgets, venue booking, menu selection, and event logistics.
- Assists digital marketing by preparing and sharing content, updating social media, creating infographics, and developing newsletters. Uses graphic design software to create visual materials, collaborates with stakeholders, and captures event content for campaigns for live and b-roll content . Ensures brand consistency by adhering to CVB graphic identity guidelines.
- Builds and maintains relationships with industry partners, communicates event details, and collaborates with the team to welcome clients and distribute gift baskets for sales efforts. Represents Visit Allen at industry meetings.
- Supports destination sales and services by researching prospects, managing leads, preparing promotional materials for trade shows and sales efforts, and coordinating client site tours to highlight local offerings.
- Assists in management of event housing logistics for clients by creating reservation sites, overseeing room inventory, assisting with guest reservations, generating reports, and annually training hotel partners on housing software.
- Promotes the destination by attending trade shows and conferences, coordinating gift baskets for client engagement, and assisting with research, database entry, and trade show follow-up. Supports departmental staff in preparing promotional materials for trade shows and sales efforts.
Job Requirements
Education & Experience
Work requires broad knowledge in a general professional or technical field. A typical way to obtain the required qualifications would be:
- Bachelor’s and three (3) years of work experience.
- Associate's and seven (7) years of work experience.
- High School diploma or equivalent and eleven (11) years of work experience.
Special Requirements
- Must possess a valid Texas Class C driver’s license.
