The Recreation & Community Services is seeking a dynamic and detail-oriented individual to join our team as a Staff Assistant in the Special Events Division. The ideal candidate will possess a strong passion for event planning and execution, with the ability to manage multiple tasks in a fast-paced environment. They should demonstrate excellent organizational skills, attention to detail, and a proactive approach to problem-solving. A positive and professional attitude is essential, as the candidate will interact with a variety of internal teams, external vendors, and high-profile guests. This individual must be able to represent the City of Milpitas Recreation and Community Services in a professional manner and follow the City’s and Recreation Services’ policies and regulations.
The Staff Assistant will assist Recreation and Community Service programs and activities as assigned, including but not limited to, seniors, youth, teens, camps, aquatics, special events, volunteers, or social services. Under the general supervision of a Recreation Supervisor and the direct supervision of a Recreation Program Coordinator, the Staff Assistant will perform various administrative and logistical support duties requiring knowledge of detailed activities related to the assigned area.
Typical Work Schedule: A typical work schedule is Monday through Friday, 15 to 25 hours per week, between 8:00 a.m. and 5:00 p.m. Some Special Events take place on Saturday or Sunday in the afternoons and evenings.
Employment Status: This is a temporary part-time, unbenefited, and unrepresented position.
- Provides general information on policies, procedures, and methods of assigned areas.
- Assists in the planning, organizing, and implementation of recreational activities and programs.
- Provides assistance with performance measures as it relates to participant and community member surveys, etc.
- Compiles information and gathers data from various sources to compose and draft special project reports, spreadsheets, and correspondences.
- Researches current recreation and community service trends.
- Assists with the onboarding of new part-time staff in a limited capacity, as directed by full-time staff.
- Purchases department supplies and assist with inventory and budget tracking.
- Maintains office files and records of program activities.
- May be required to work weekday evenings, weekends, and irregular hours in the performance of duties.
- Performs other related duties as required.
Minimum Qualifications:- Must be at least eighteen (18) years of age
Certifications and License/s:
- CPR and First Aid certification within 90 days of appointment.
Other Requirements:- Live Scan Fingerprint clearance (Department of Justice background check)
- TB Test Clearance
Desired Qualifications and Experience:- Valid California Driver’s license
- Ability to travel to various locations within and outside the City of Milpitas.
- Work or volunteer experience in parks, recreation, or other community services programs
Knowledge of / Ability to:- Knowledge of modern office administrative procedures such as word processing, data entry and organization, telephone and counter reception, and filing.
- Principles and practices of effective customer service.
- Communicates effectively, orally and in writing, with correct English usage that includes spelling, grammar, punctuation, and vocabulary.
- Basic financial and statistical record-keeping techniques.
- Ability to routinely take initiative and act independently to make decisions as required.
- Strong team player and able to work cooperatively and efficiently with others.
Selection Process:
The selection process will consist of an evaluation of the applicant's training and experience based on the application and responses to the Supplemental Questionnaire. Only the candidates whose backgrounds best match the position will be invited to proceed in the selection process. Additional phases of the selection process will consist of one or more interviews.
