The Legal Assistant provides complex administrative assistance and legal support to the supervising attorney and deputy prosecuting attorney(s) in criminal gross misdemeanor, misdemeanor, civil traffic infraction, and civil code violation cases. As directed, assists in file and trial preparation by organizing information, forms, evidence, and documentation needed for attorney(s) as well as attending hearings as necessary. As needed, contacts witnesses and schedules interviews. Coordinates court calendars, schedules hearing dates. Monitors cases for defendant compliance.
- Assists in file and trial preparation for attorney(s) by collecting and organizing accurate information, forms, evidence, and documentation. Assures that correct forms are submitted to attorney(s) for each case
- Reviews police reports to assure all charges are supported by the evidence.
- Locates and copies documents, photos, videos, and audio recordings to be provided in timely manner to defense attorney(s) per discovery deadlines prescribed in court rules. Must be able to determine what materials can be released and what must remain confidential
- Contacts witnesses and schedules interviews, prepares witness and officer subpoenas
- Handles e-mail and telephone communications with both internal and external customers
- Prepares standard jury instructions for trial; attends trials as necessary
- Coordinates court calendars and schedules hearing dates
- Assists attorney(s) in court by preparing orders for presentation to judge, providing plea forms for case disposition, and documenting outcomes in prosecutor's file
- Monitors compliance of defendant with terms of negotiated agreements and sentences in criminal cases and if not in compliance, decides if court review is necessary
- Along with police support division, determines proper disposal of property and evidence
- Processes department purchase orders of less than $2000. Assists supervising attorney in data entry and reports for department budgeting process
Knowledge of and Skills in
- Criminal law, Legal terminology, documents, and procedures relevant to court proceedings including court rules, service of process, and filing procedures
- Preparation of legal documents and correspondence
- Office practices, methods and procedures
- Recordkeeping techniques
- Applicable federal, state and local laws, codes, regulations and statutes
- Proficiency in using word processing and spreadsheet programs
- Extensive skills in problem solving, managing multiple projects
- Composing grammatically correct and effective written communications
- Familiarity with database systems such as Spillman (Police department records), Digital Evidence Locker (photo, video, and audio evidence), DISCIS (District Court Information System) and ECR (Electronic Court Records)
- Familiarity with Dynamics software for budget process is preferred
Ability to
- Work in an environment where a high degree of confidentiality is required
- Interact in a sensitive and appropriate manner with victims, witnesses, defendants, attorneys, judges and court staff
- Prepare standard legal documents, reports and summaries
- Effectively and independently organize and coordinate workload and scheduling
Education and Experience
- Associate's Degree or high school diploma/G.E.D. with 2 years of college level coursework in related field
- 2-3 years of progressively responsible legal support experience
- May require relevant certification or higher education coursework as it pertains to the department/division
- Any combination of education and experience that provides the desired knowledge, skills and abilities to perform the essential duties of the position
Licenses and Certificates
- Washington State Notary Public appointment preferred
- Valid Washington State Driver's License and a driving record that meets city standards
