School Bookkeeper & SIS Coordinator
Position Purpose: Under the direct supervision of the Principal, this position manages the school's student information system (SIS) and financial records to ensure accuracy, compliance, and efficient school operations.
Essential Duties
- Maintains accurate student records in the district's Student Information System (e.g., Infinite Campus), including enrollment, withdrawals, scheduling, attendance, and grades.
- Ensures compliance with all applicable laws and regulations, including Family Educational Rights and Privacy Act, regarding confidentiality and access to student records.
- Generates, verifies, and audits reports for attendance, enrollment, scheduling, grading, and state reporting (e.g., FTE).
- Provides training and support to staff on SIS usage and data entry procedures; serves as liaison with the district SIS/technology department.
- Maintains secure and organized student records (digital and cumulative files).
- Receives, verifies, and deposits daily funds; manages accounts receivable and payable, including purchase orders and invoices.
- Reconciles monthly bank statements and resolves discrepancies related to financial transactions.
- Prepares and reconciles cash boxes for school activities and events.
- Monitors budgets, instructional allotments, and maintains accurate financial records in accordance with district procedures.
- Maintains inventory records and required documentation for audits, including receipt books and purchase order logs.
- Provides guidance to staff regarding financial procedures and internal controls.
- Assists students and parents with account, enrollment, and record-related questions.
- Supports front office operations, including answering phones, greeting visitors, and distributing mail.
- Performs receptionist duties and other duties as assigned by administration.
Knowledge, Skills And Abilities
- Knowledge of student information systems, data management, and basic accounting principles.
- Ability to maintain accurate records and ensure data integrity.
- Strong understanding of confidentiality requirements for student and personnel information.
- Ability to manage multiple tasks and meet deadlines.
- Proficiency with technology (SIS, Microsoft Office, Google Workspace, accounting software).
- Strong problem-solving, organizational, and communication skills.
- Ability to work effectively with staff, students, parents, and vendors.
Equipment: Standard office and technology equipment, including computer, SIS and accounting software, copier, scanner, and calculator.
Travel Requirements: Limited travel to and from meetings may be required.
Physical and Mental Demands, Work Hazards: Works in standard office and school building environments.
Qualification Profile
- High school diploma required
- College level course work in business, word processing, and office procedures preferred.
- Associates or Bachelor's degree preferred.
- Successful experience with office management in related area preferred.
