This recruitment is now open to all applicants and is extended to November 15, 2024. The Office of the City Clerk has an immediate opening for an unclassified, full time City Clerk Assistant. The City Clerk Assistant is responsible to assist the public and other departments via the phones or in person in conjunction with other office duties. The City Clerk Assistant will be areliable team member that is trustworthy, punctual, able to meet critical deadlines, complete assigned tasks successfully and create a network of mutual respect and comradery.
- Interact with the public and/or City departments and provide excellent customer service by phone, mail, email and in-person;
- Supports the public counter by answering questions regarding departmental legislative and elections services and direction of the public to appropriate City departments and bureaus;
- Processes, receive and verify proof of domestic partnership; maintains domestic -partnership registry and applications;
- Receives and logs summons, subpoenas, and creates memos and distributes to appropriate parties;
- Post notices, resolutions, ordinances and agendas;
- Receives and records receipt of liability claims; makes copies of damage claims and forwards to appropriate parties; enters claim form data and files;
- Required to become a passport agent to process passport application in accordance to State law;
- Schedules passport and civil ceremonies appointments;
- Logs, sorts, files, routes, mails and processes a wide variety of forms, memoranda and correspondence;
- Operate Multi-Function Devices and other office machines;
- May receive payments and issue receipts;
- May create and compile files;
- May proof read documents for conformance to source materials;
- May climb ladders, lift and load up to 25lbs., and perform similar strenuous work;
- Required to walk to front counter from 11th floor several times per day;
- Performs other duties as required;
- Required to work in office.
MINIMUM QUALIFICATIONS:- High School Diploma or GED;
- Six months of recent experience in performing routine clerical duties such as filing, answering phones, data entry and customer service;
- Ability to file alphabetical, numerical and chronological order;
- Must be able to work flexible schedule, weekends, and overtime as required;
- A valid motor operator’s license, or the ability to arrange necessary and timely transportation for field travel, may be required for some assignments.
DESIRABLE QUALIFICATIONS:- Preference for bilingual proficiency (English/Spanish or English/Khmer);
- Proficiency in the use of the internet, email (Microsoft Outlook) and Microsoft Excel and Word.

- Strong attention to detail;
- Exceptional written, verbal and customer service skills;
- Ability to handle difficult phone calls;
- Ability to file in alphabetical, numerical, and chronological order;
- Ability to work a flexible schedule, weekends and overtime as required;
- Ability to maintain a good rapport and work closely with other employees and perform routine work.
