The Planning Division of the Community Development Department is now hiring for one (1) full-time career Administrative Assistant.

THE POSITION
The Administrative Assistant in the Planning Division of the Community Development Department plays a crucial role in providing comprehensive administrative and office support to ensure the smooth operation of the Division and within the Department. Under general supervision, this position involves preparing technical documents, reports, and outreach/informational materials, managing confidential files, assisting with public inquiries, coordinating meetings, and providing support to the Division Manager and Planning staff. The role requires initiative, judgment, excellent communication skills and grammar, and proficiency in word processing, spreadsheets, and database management to develop and maintain essential documents and records.

IDEAL CANDIDATE
The ideal candidate for the Administrative Assistant position in the Planning division is a highly organized and detail- oriented professional with a good understanding of city planning and community development processes. They should possess advanced skills in word processing, spreadsheets, and database management. Excellent communication skills, both oral and written, are essential, along with the ability to handle sensitive and confidential information with discretion. The candidate must have experience in providing administrative support, managing records, and coordinating meetings. Some experience in graphic design is preferred. They should be proactive, capable of working independently, and demonstrate a high degree of accuracy in their work. The ideal candidate will thrive in a fast-paced, dynamic environment, be committed to providing exceptional customer service, and possess the ability to establish and maintain effective working relationships with city staff, the public, and other stakeholders. This position is perfect for someone passionate about community development and planning, who enjoys contributing to the success of the department through their strong administrative skills.
Minimum Qualifications
A typical way of obtaining the knowledge, skills and abilities outlined above is graduation from high school or G.E.D. equivalent; and three years of increasingly responsible administrative support or secretarial experience; or an equivalent combination of training and experience.
About The Planning Division
The Planning Division recommends and implements land use policies, processes land use applications and prepares and processes updates and revisions to the General Plan, Municipal Code, Landscape guidelines and Design guidelines. This division provides staff support to the Planning Commission, Environmental and Historical Preservation Board, and Development Review Team.

About The Community Development Department
The Community Development Department (CDD) provides a variety of development, business and property owner services. CDD administers development review and project entitlement activities, performs long range planning, and maintains the City’s General Plan. The department also performs building plan review, issues various permits and performs inspections for new and altered projects. CDD manages a comprehensive community enhancement program that includes nuisance abatement, and parking control among a host of other services. The department oversees the full service operations for Animal Services including animal care, adoption, and public safety.
