Hourly Rate: $28.25-$31.14/hour
Work Days/Times: Schedule varies, 20-25 hours per week; some weekends required
Position performs duties to plan events for the City of Durham, such as reviewing logistics, organizing schedules and timelines, arranging required services, and monitoring the work of approved contractors. Incumbent provides on-site support by evaluating weather and safety conditions, coordinating vendors, overseeing event logistics, and stage management. Responsibilities include contributing to staff meetings, allocating duties, reserving spaces, and supervising event staff.
Duties/Responsibilities
- Plans, organizes, and implements events such as the Earth Day Festival, Senior Holiday Party, and Rock the Park series within approved budget.
- Coordinates planning meetings with staff and other involved parties to ensure that all aspects of an event are fulfilled in a timely and efficient manner.
- Administers to logistics, operations, transportation, waste management, and other essential functions of an event.
- Ensures that all agreements, sponsorships, publicity, and written correspondence pertaining to events are reviewed and approved by management before distribution.
- Assists with sponsorship solicitation for events.
- Books and contracts performers and ensures that marketing materials can be prepared and distributed well in advance of the event.
- Submits all check requests and vendor payments, ensuring that paperwork is accurate and submitted at least seven days prior to the event date.
- Assists in recruiting and coordinating staff and volunteers to ensure sufficient coverage for the event.
- Ensures that the required facility agreements and internal equipment reservations are completed by deadlines.
- Secures and submits external rentals and equipment needs in time for the event.
- Ensures that on-site evaluations are conducted at the event and evaluations are submitted to the departmental data coordinator within seven days of the completion of the event.
- Completes event reports within ten days of the completion of the event
- Manages all contractual and rental agreements, ensuring that payments are prepared and processed according to the requirements set therein.
- Manages elements of assigned special projects such as the Bimbe Festival, Latino Festival, Holiday Fun Fest and Holiday Parade within agreed upon deadlines

Minimum Qualifications & Experience
- Associate’s degree in event management, recreation, physical education, or a related field, or equivalent combination of education and experience.
- Three (3) years of experience supervising event planning or recreation.
- Valid North Carolina Class C Driver’s License with a satisfactory driving record.
- Valid Adult and Pediatric First Aid/CPR/AED – with Anaphylaxis and Epinephrine Auto Injector Certification within the first six months of employment.
