Overall Responsibility
The Judicial Assistant plays a crucial role in providing the people an open, fair, efficient and independent system for the advancement of justice under the law. Judicial officers (judges, justices, and commissioners) deliver justice under the law to court patrons. The judicial assistant facilitates and guides administrative courtroom interactions and transactions for judicial officers as authorized by their line of management. Typically, the judicial assistant provides guidance on courthouse processes/procedures; listens to court patron questions and concerns with patience and compassion; timely and accurately produces court records such as minutes, filing of court orders, and sentencing; ensures court records and accomplishment of tasks for court patrons are aligned with the intent of the judicial officer (such as release from custody, sentencing details, financial obligations, etc.); proactively finds ways to appropriately remove barriers to the justice system for court patrons; and in many other appropriate ways assists judicial officers by taking on appropriate administrative functions so that courtroom decisions may be guided by uncluttered, principle analysis.
Key Tasks And Responsibilities
- Assist court patrons, attorneys, and self-represented litigants in person, over the phone, via email, and/or during in-person or virtual court hearings.
- Create Accounts Receivables for and/or process payments of fines, filing fees, and restitution payments.
- Schedule hearings, facilitate both in-person and virtual hearings and provide notice to parties and attorneys.
- Prepare and distribute minute entries (a
type of written account of important events and timelines during a court hearing) and orders as directed by a Judge or Commissioner.
- Maintain a clear recording of court hearings.
- Communicate with allied agencies regarding court processes.
- Process case filings submitted to the court. These may be submitted electronically, by mail, or in person. Safeguard and track exhibits received during court hearings.
- Follow court rules and statutes.
- Other duties as assigned.
Skills And Attributes
- Customer and Personal Service -- Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
- Administrative -- Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, stenography and transcription, designing forms, and other office procedures and terminology.
- Law and Government -- Knowledge of laws, legal codes, court procedures, precedents, government regulations, executive orders, agency rules, and the democratic political process.
- English Language -- Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
- omputers and Electronics -- Knowledge of applications and programming.
- Problem Sensitivity -- The ability to tell when something is wrong or is likely to go wrong. It des not involve solving the problem, only recognizing there is a problem.
- Deductive Reasoning -- The ability to apply general rules to specific problems to produce answers that make sense.
- Comprehensive Communication Skills = Highly proficient in active listening, verbal articulation, reading comprehension, and written expression, ensuring seamless and accurate information exchange.

Requirements
- High school diploma or G.E.D. equivalent
- Prefer at least one (1) year previous experiences working in a professional, fast paced office and/or legal environment with one (1) year of customer service experience
- Ability to analyze information, solve problems, and make effective and informed decisions
- Ability to function both independently and within teams
- Ability to manage time effectively and transition between multiple tasks
- Ability to work under pressure and meet deadlines
- Understand and know the importance of records confidentiality and monitor access to records appropriately
- Understanding of legal procedures, rules, and processes is preferred
- Must pass a physical, drug screening, and background check
Physical Requirements May Include
- Using primarily just the fingers to make small movements such as typing, picking up small objects, or pinching fingers together
- When talking, one must convey detailed or important instructions or ideas accurately, loudly, or quickly
- Able to hear average or normal conversations and receive ordinary information
- Average, ordinary visual acuity necessary to prepare or inspect documents
- Sedentary work; sitting most of the time
- Work is generally performed indoors in a safe environment with little requirement for physical exertion
- Some light lifting, up to 25 pounds (heavy files)
- Reasonable accommodation to some tasks is possible
