The City of Richmond Department of Justice Services is seeking a highly qualified, detail-oriented, and enthusiastic individual to fill the position of Grant Coordinator. The selected candidate for this grant funded position will coordinate the department’s efforts at leveraging grant dollars focused on reducing community violence. Through ongoing partnerships with non-profit, grassroots and city agencies, grant funded projects targeting prevention, intervention and other key initiatives, this candidate will be dedicated to pursuing grant dollars, managing the allocation of funds and serve as one of the points of contact to federal and state funders. This candidate will also serve as the department’s liaison to the City’ eCivis grant team.
The incumbent provides advanced level fiscal analysis, policy support, and program/project administration that requires independent evaluation and analysis of issues related to the performance of multiple tasks. The incumbent will identify potential funding opportunities, assist with the preparation and submission of grant proposals, and manage awarded grants - monitor, track, and report on the progress of funded projects, ensuring adherence to timelines, budgetary constraints, and grant conditions, coordinate with internal division leaders to gather necessary information and documentation for grant reporting.
As assigned, work may include: analyzing complex issues to facilitate and execute programs/projects; managing programs; serving on committees/task forces; drafting and revising documents; overseeing financial transactions; performing complex financial analyses; preparing public relations and marketing materials; serving as a department liaison or official representative to senior staff, external agencies, and the public; managing events; researching, developing, writing, and editing complex reports and plans; preparing financial forecasts, reports, and budgets; coordinating and leading budget preparation; compiling and analyzing statistical data; overseeing and processing complex financial transactions; managing grants and contracts; and conducting operational reviews and preparing reports of findings and recommendations.
As assigned, the incumbent may supervise professional, paraprofessional, and support staff including conducting performance evaluations, coordinating training, and implementing hiring, discipline, and termination procedures.

Grant Research, Management and Coordination
- Work with leadership team to identify potential grant opportunities aligned with the agency’s goals.
- Maintain an updated database of funding sources and grant opportunities.
- Coordinate and oversee grant activities.
- Facilitate reimbursement requests and ensure timely submission to funders.
- Facilitate collaboration among community-based organizations, the City of Richmond, and other stakeholders.
Fiscal Analysis, Oversight, Budget Preparation, Grant Proposal Preparation and Submission
- Regularly review and analyze expenditures, and conduct forecasts, for existing grants
- Assist in the preparation of annual budgets and grant proposals, ensuring compliance with City practices, funder guidelines and deadlines.
- Collaborate with team members to gather necessary information and documentation for proposals.
- Submit completed proposals through appropriate channels and maintain records of submissions.
Tracking and Management
- Prepare and submit regular progress reports to leadership and funders as required.
- Oversee project progress and track expenditures to ensure compliance with budgetary constraints.
- Maintain organized records of all grant-related documentation, including proposals, contracts, and correspondence.
- Assist in the evaluation of grant-funded projects and compile findings for internal and external reporting.
- Track progress on grant objectives, tasks, and deliverables.
Communication and Collaboration
- Maintain clear and consistent communication with all stakeholders.
- Prepare and submit regular progress reports to the direct supervisor and director.
- Attend relevant training and workshops to stay informed about best practices in grant writing and management.
- Address any issues or obstacles promptly to ensure project success.

MINIMUM TRAINING AND EXPERIENCE:
- Bachelor's degree in business/public administration or field related to assignment
- Three years of journey-level professional experience in grant writing, grant management, and reporting
- An equivalent combination of training and experience (as approved by the department) may be used to meet the minimum qualifications of the classification
