Functional Purpose
Provides administrative, secretarial and clerical support in a legal environment to assist with a variety of activities associated with administrative procedures, research, information documentation, data integrity, IT, and law office practices for a manager or small staff of attorneys.
DUTIES AND RESPONSIBILITIES
1. Prepares, initiates, and composes standardized documents needed for legal actions and correspondence from rough drafts, standardized sources, and recorded dictation.
2. Reviews accuracy of legal documents and correspondence; ensures correct format, punctuation, grammar, and applies knowledge of legal documentation requirements and organization.
3. Responds to telephone, e-mail, fax inquiries in support of legal administrative procedures and normal processing time.
4. Establishes and maintains electronic docketing system, subject files and records for the assigned unit; maintains electronic files on pending cases on projects for assigned manager and attorneys after scanning new documents or correspondence when received.
5. Receives, records, scans, sorts, routes and distributes time sensitive mail, faxes, and a variety of incoming legal documents related to cases, projects and litigation, answers inquiries on the status of specific documentation for pending cases.
6. Establishes, maintains, and closes case files or systems of legal records; annotates status, compiles workload and status reports; locates and abstracts data from files and records.
7. Performs a variety of administrative tasks such as but not limited to travel arrangements, expense vouchers; arranges meetings, conferences including notification of participants and records proceeding; arrange use of video conference facilities; maintains calendars for assigned attorneys; obtains necessary office supplies and materials.
8. Works closely and effectively with internal staff, attorneys, clients, courts, and the public to accomplish administrative support duties; obtains, selects, compiles and provides information in support of legal cases, advice matters and projects.
9. Performs other duties in support of administrative, secretarial, and clerical as assigned.
Qualifications/Requirements
1. Ability to use office software programs (e.g., word processing, spreadsheet, database, Internet browsers) and office computer input and output devices (e.g., mouse, scanner, printers) sufficient to perform daily work activities.
2. Ability to prepare and format legal documents and to proofread such documents and other written materials for correctness of spelling, grammar, word usage, and legal citation form.
3. Ability to perform clerical and administrative support activities (e.g., route incoming mail/legal documents, prepare and submit documents to courts/litigants, obtain office supplies and materials, prepare expense vouchers) with attention to detail, ensuring that work is accurate and complete.
4. Ability to plan, schedule, and organize job tasks (e.g., make travel arrangements, arrange meetings, maintain calendars for attorneys, maintain/monitor calendars of filing deadlines) to meet deadlines.
5. Ability to coordinate with managers, attorneys and/or support staff to assure secretarial support needs of the office are met in a timely manner.
6. Ability to identify and retrieve relevant sources of information from standard references, databases, or filing and tracking systems to support administrative tasks.
7. Ability to respond to oral and written inquiries on moderately complex non-legal matters and/or refer inquiries to the proper source for response.
8. Ability to work cooperatively and interact positively with co-workers and customers, exercising courtesy, discretion, and self-control.
9. Knowledge of basic legal language sufficient to draft and format documents, organize files, and send correspondence related to casework in a specific functional area.
