
The City of Rancho Cucamonga’s Finance Department is seeking a detail-oriented and service-driven Administrative Assistant as a key front-line support role to support our Finance divisions and leadership. This position plays an important part in ensuring smooth departmental operations through high quality customer service, strong organizational support, and the ability to coordinate a wide variety of administrative functions with accuracy and professionalism.

What you’ll be doing in the position:
· Answering calls and serving as a welcoming first point of contact for Finance, helping route questions or concerns to appropriate team members.
· Supporting Finance divisions with counter and front-desk +inquiries for back-up during peak periods.
· Distributing incoming mail and assisting with outgoing bulk mailers and departmental communications.
· Processing invoices, subscriptions, memberships, and related administrative documentation with accuracy and attention to detail.
· Maintaining monthly purchasing card (P-Card) documentation and preparing transaction review packets to support Accounting and audit needs.
· Assisting with timekeeping and payroll related administrative coordination using the City’s ERP system and workflows.
· Maintaining office supply inventory, ordering supplies, and utilizing the City’s procurement software program.
· Supporting the Finance Department’s business process and SOP documentation initiative by curating materials into a consistent, organized system in partnership with Finance leadership.
· Assisting with department projects, employee trainings, and meeting coordination as needed.
· Performing other related duties as assigned in support of Finance and departmental priorities.
Education and/or Experience:Any combination of education and experience that would likely provide the required knowledge, skills and abilities is qualifying. A typical way to qualify is: Equivalent to graduation from high school and 2 years of progressively responsible administrative experience.Knowledge, Skills, and Abilities:
Office procedures; office equipment; telephone etiquette; rules of proper English usage, grammar, punctuation, and spelling; the use of personal computing equipment and associated office software used for word processing and spreadsheets; basic record keeping principles and practices; business letter writing and the standard format for typed materials; arithmetic calculations including percentages, fractions, averages or other formulas; perform detailed office support work within classification level; type routine correspondence from drafts; use initiative and sound independent judgment within established guidelines; organize and prioritize work; maintain accurate files and records; establish and maintain effective working relationships with those contacted in the course of the work; operate a variety of office machines including but not limited to a multi-lined telephone, facsimile machine, calculator and copier; establish and maintain various electronic and/or manual recordkeeping systems.Special Requirements:Specified assignments require possession of a valid California Driver's License.All levels require a minimum keyboarding ability of 40 words per minute or demonstrated proficiency at an advanced level in Word.
