The City of Riverside, City Clerk's Office, is accepting applications for the position of City Clerk Specialist to fill one (1) vacancy.The eligibility list established may be used to fill the current and/or upcoming vacancies within this classification for up to six (6) months.Under general direction, a City Clerk Specialist will perform a wide range and variety of general clerical and highly responsible complex duties for the Office of the City Clerk; handle administrative tasks and duties and coordinate day-to-day office operations; and perform related work as required. Depending on assignment, may serve as a lead within the classification, providing oversight and direction to others in the same classification.
Typical duties may include, but are not limited to, the following:
- Perform a wide variety of responsible and confidential duties as needed.
- Compose letters, reports, and other communications on behalf of the City Clerk's Office ensuring materials are submitted on time; contact participants and coordinate meetings; complete and distribute follow-up reports.
- Operate, and remain proficient in, a variety of office equipment, including but not limited to, modern office methods and computer software including document management applications (i.e., word processing and Public Records Requests portal) at an advanced level.
- Perform administrative research and compile information, data and materials.
- Assist with review, dissemination of assignments for Public Records Requests to departmental liaison(s).
- Principles and practices of classifying, indexing, processing, retrieving, and controlling a large volume of records.
- Process documents including ordinances, resolutions, contracts, claims and other related documents.
- Assist with varied duties related to administering Boards and Commissions membership.
- Perform duties of Passport Acceptance Facility Agent*.
- Perform Notarial Acts in accordance with applicable state laws and established procedures.
- Recommend and assist in developing and implementing goals, objectives and strategies to support the continuous improvement and modernization of municipal clerk services.
- Manages departmental requisitions and processes invoices for payment; reconciles departmental billing records and bank statements to ensure accuracy and fiscal compliance.
- Participate in budget preparation and administration; prepare cost estimates for budget recommendations; submit justification for budget items; and monitor and control expenditures.
Education: High School graduation or satisfactory equivalent (GED), Experience:Two years of increasingly responsible office administrative experience. Highly Desired Qualifications:- Experience working for a public agency.
