Job Summary
The Accounting Specialist will provide accounting support to major financial accounting areas, including the accounts payable desk, patient accounts department, purchasing department, general ledger accounting, and account reconciliation. The Accounting Specialist provides support to the Accounting department by ensuring all cash management duties are completed each day. This position is also responsible for completing all accounts payable functions in a timely and effective manner by preparing, coding, and entering invoices for payment in the automated accounting system. This position communicates with the patient accounts department as well as clinic front office staff regarding clarification of any discrepancies for cash related items. The position will also proactively communicate with vendors regarding invoice payments and clarification of any questionable invoice items and prices. The position will assist in the month end close duties including journal entries, balance sheet adjustments, and general ledger account reconciliations. Other functions include the general and payroll bank account reconciliations and as well as assisting in the annual budget and audit process. May be asked to provide other related accounting support as needed.

Education
- High school graduate or equivalent.
- Associate’s degree with an emphasis in Accounting, Accounting Certificate, or in lieu of degree or certificate, a combination of equivalent education and work experience.
Experience
- General and clerical accounting experience (2 years).
- Customer service related experience working with the general public (2 years).
- Microsoft Excel experience.
Other
- Driver’s License with the State of Washington
- Motor vehicle insurance liability policy, a certificate of deposit, or a liability bond to the required limits.
Job Specific Functions
- Prepares clinic deposits, to include counting the cash and credit cards payments, matching them to the NextGen batch reports, and preparing the bank deposits.
- Prepares the mail deposits, including coding and scanning of checks into the bank check scanner, and taking deposits to the bank.
- Prepares all incoming cash via mail, clinic, and EFT for further processing into the Sage Intacct Accounting system.
- Resolves issues with vendors and/or any other external customers, which includes researching past due items, and resolving discrepancies in statements and/or invoices.
- Prepares accounts payable invoices by coding and keying them into an Excel spreadsheet and processing them into the accounting system, as well as weekly AP check runs.
- Files accounts payable and cash receipts in a timely manner.
- Assist the accounting department during budget and audits in completing the annual operating budget and fiscal year-end external financial audit.
- Assist in the month-end close process, including journal entries and balance sheet adjustments and account reconciliations.
- Prepares and pays the combined excise tax return monthly on the State of Washington Dept. of Revenue website. Adds new clinics to the account and/or updates existing account information.
- Process annual unclaimed property forms and submit payment to the State of Washington Dept of Revenue.
- Assist the accounting department as needed.
- Adheres to attendance standards in order to perform the job functions for daily operations and/or continuity of patient care.
