THE POSITION
The Community Development division is seeking a proactive Management Assistant to provide administrative and analytical support to enhance planning initiatives, neighborhood conditions, and community development programs. Responsibilities include program development and implementation, researching and analyzing financial and operational data, preparing reports and presentations, managing budgets and grants, tracking expenditures, and public education. The role supports the department’s daily activities which are focused on improving the community through planning, code compliance, and community enhancement efforts. Strong problem-solving skills, attention to detail, and effective communication including excellent written skills are essential for success.

IDEAL CANDIDATE
Our ideal candidate is a detail-oriented and analytical professional with strong organizational and communication skills. They excel in evaluating administrative, financial, and operational data to support community development initiatives, conducting research, preparing reports and presentations, assisting with budget and grant management, and ensuring policy compliance. Key responsibilities include analyzing program effectiveness, tracking expenditures, coordinating public improvement projects, managing vendor accounts, program development and implementation, community engagement and public education, drafting policies and reports, and responding to public inquiries regarding community development efforts. With proficiency in business software and a proactive approach, they work collaboratively with colleagues, city officials, developers, and community stakeholders to advance development programs and improve municipal services.
Minimum Qualifications
A bachelor’s degree in finance, public or business administration or a closely related field; OR, equivalent related work experience; AND at least one (1) year of professional experience performing administrative, operations, budgetary and similar analyses.
DISTINGUISHING CHARACTERISTICS
Management Assistants perform professional analytical and management support work assignments ranging from routine to moderately difficult or assists others in performing more difficult analytical work, such as financial reconciliations and project allocation journal entries support of department functions, programs, goals and objectives. As experience is gained, more difficult duties are assigned and performed with greater independence. Incumbents are expected to exercise judgment in applying indicated study methods and analytical techniques and in making sound, fact-based recommendations based on study results.
Management Assistant is distinguished from Management Analyst in that incumbents in the latter class perform more difficult research assignments involving gathering and interpretation of data from multiple sources on issues of significant impact and importance, while exercising sound judgment in formulating study approach and analytical techniques necessary to achieve expected study results.
About The Community Development Department
The Community Development Department (CDD) provides a variety of development, business and property owner services. CDD administers development review and project entitlement activities, performs long range planning, and maintains the City’s General Plan. The department also performs building plan review, issues various permits and performs inspections for new and altered projects. CDD manages a comprehensive community enhancement program that includes nuisance abatement, and parking control among a host of other services. The department oversees the full-service operations for Animal Services including animal care, adoption, and public safety.
