The City of Louisville seeks a detail-oriented, customer service-driven individual as a City Clerk Technician. This position works under the general direction of the City Clerk, this role assists with the activities and operations of the City Clerk’s Office and Court including administrative support and other related duties as required. This position will spend half their time working at Louisville City Hall as the first point of contact for the City Clerk's Office, and the other half of their time assisting at the Court located at the Louisville Police Department. This position works 32 hours per week with prorated benefits. (Schedule could be 4 days or other agreed upon schedule).
This role requires a background check, fingerprinting and CCIC/NCIC certification to work at the Court.
- Provides administrative support for City Clerk's Office and assist Courts
- Performs electronic production that includes document preparation, processing, and storage
- Maintains multiple databases and complex record-keeping and reporting systems
- Responds to a high volume of inquiries and requests made by the public, employees, and other agencies via telephone, fax, email and mail in a timely manner
- Maintains inventory sheets that summarizing established quality-control schedule for handling and identifying archived records; maintains on-site storage facilities
- Assists with preparations for annual destruction of eligible records per the City’s Records Retention Schedule
- Additional Court duties to act as backup to Court Clerk and assist on Court days.
- Operates a variety of office equipment and works with various computer programs to complete assigned tasks
- Performs additional duties as required
- Completion of a high school diploma or equivalent
- At least two (2) years of experience of general clerical administrative assistant experience including extensive data entry and customer service experience
- Experience working for a municipality or local government agency in a City Clerk's office preferred but not required
- Exceptional customer service and communication skills
- Knowledge of office practices and procedures
- Knowledge of manual and computer filing systems
- Knowledge of Microsoft Office (Word, Excel, Teams, MS Outlook)
- Strong interpersonal and communication skills
- Ability to establish and maintain effective working relationships with co-workers, employees, and the public
- Ability to handle stressful situations with tact and diplomacy
- Ability to communicate effectively both verbally and in writing
- Ability to perform data entry activities
SPECIAL LICENSE, REGISTRATION, OR CERTIFICATE REQUIRED:Requires a NOTARY certification or able to obtain a notary certification within 6 months of hire
